The Role:
The Study Recruitment Manager will play a leading role in recruiting participants for clinical trials and building a robust participant database for future studies. Reporting to the Senior Operations Manager, this individual will lead the Recruitment Team and collaborate closely with the Marketing team to ensure the successful delivery of recruitment goals within project timelines and budgets as outlined in Sponsor contracts. The ideal candidate must have a proven track record of project management to support the efficient recruitment of participants into studies, possess a strategic mindset to develop and grow the participant database that supports faster recruitment for future studies, and drive the ongoing development of Atlantia’s in-house recruitment platform. This role will also manage all external communications to all stakeholders, including sponsors, study project managers, participants and media sources, ensuring the message is consistent, engaging, and results driven.
Key Responsibilities
Participant Recruitment
* Management of all Atlantia study recruitment timelines and budgets.
* Responsible for the resource planning of the recruitment team to ensure recruitment targets and timelines are being met.
* Play a central role in the recruitment of participants for Atlantia studies.
* Liaise with Healthcare Professionals, Community groups, Charities etc. both nationally and internationally to develop relationships to ensure the growth of the volunteer database to support recruitment targets for all studies.
* Support the Science team in the development of the protocol from a Recruitment perspective e.g. review of inclusion and exclusion.
* Develop study specific recruitment packages/materials for all ethical submissions (adverts, brochures, flyers, pre-screen questionnaires etc).
* Attend Site Initiation Visits and prepare & present recruitment strategy and timelines to sponsors.
* Communicate effectively with the wider team, including Recruitment Team, Project Managers and Management on all trial deliverables, to ensure successful recruitment of the study.
* Ensure timely availability of reports/activities needed to track trial recruitment performance. Escalate issues endangering study timelines to the next level if no solution can be achieved.
* Attend Sponsor meetings during the recruitment stage to ensure transparent communication and accurate updates. Present recruitment issues to Sponsors and present solutions and strategies to mitigate these issues.
* Attend and represent Atlantia at local events and organise open days and other recruitment drives as required.
* Lead the Recruitment Team to ensure all recruitment deliverables are met according to timelines and budget.
* Recruit and train new team members and delegate recruitment responsibilities to all members of the recruitment team.
* Track and report on campaign metrics, performance, and recruitment targets to the Marketing, Operations and Executive Management Team, and Clients/Sponsors.
* Oversee the ongoing development of Atlantia’s in-house recruitment platform, ensuring it supports efficient, scalable participant acquisition.
* Collaborate with developers and other departments to optimise platform functionality, user experience, and data management.
* Use insights from recruitment campaigns to continuously improve recruitment process and platform effectiveness.
* Perform other duties as assigned.
Marketing Activity
* With support from the Marketing team, develop and execute comprehensive digital marketing strategies to drive participant recruitment, rapidly expand the participant database, and enhance brand awareness of Atlantia Clinical Trials.
* With support from the Marketing team, create and manage performance marketing campaigns focused on immediate participant acquisition as well as growth marketing campaigns focusing on database growth. Develop and distribute press releases, newsletters, and other materials to inform and engage study participants.
* Establish effective communication strategies that foster brand loyalty, participant satisfaction, and advocacy.
* Plan and execute PR initiatives for new studies, ensuring consistency across all participant-facing communications.
Key Qualifications:
* Bachelor’s degree in Life Sciences, Healthcare, Business, or a related field.
* A minimum of 3 years’ project management experience in a similar role.
* Experience with digital marketing is advantageous but not essential.
* Proven track record of delivering on targets under tight deadlines.
* Strong communication, leadership, and project management skills.
* Analytical mindset with the ability to measure and optimise marketing campaigns for participant recruitment.
* Experience in platform management or collaboration with IT teams for platform development is a plus.
* Must be target driven and work well under pressure.
