Internal Role Title: Health, Safety and Facilities Officer
Hours: 35 hours per week, Monday-Friday
Salary: £30,581 - £38,226 per annum plus car allowance of £2,272 per annum (salary offered dependent on experience)
Contract: Permanent
You’ll be responsible for the ongoing coordination and management of health, safety and facilities data and systems, ensuring operational compliance. You’ll be proactively providing support in the day-to-day delivery of health, safety and facilities operations and projects.
A strong understanding of facilities management, and health and safety issues, including an understanding of maintenance and service contracts relating to commercial buildings and property is essential. You will need to have a full driving licence and have your own car, to be able to travel across our offices when required.

Your key tasks will include:
• Fully managing Moat’s personal safety devices including administration of supporting systems, arranging new devices, training, and making sure all supportive documentation is correct and in place.
• Managing the ordering and allocation of personal protective equipment for Moat colleagues, keeping records of all equipment given out and their expiry dates.
• Helping with Display Screen Equipment (DSE) assessments within Moat, which includes administrative management of Ergopro, Moats DSE system, conducting face to face assessments, booking external occupational therapist appointments and the ordering of any DSE related equipment.
• Act as deputy for the Facilities Manager in the delivery of all aspects of facilities management.
• Assisting with Moat’s office property strategy to deliver offices which meet business needs. Make sure all lease obligations are met by all parties.
• Assisting with office moves, acquisitions, disposals, refurbishments, and other facilities projects.
• Helping with maintaining and managing Moat’s commercial property portfolio, ensuring that necessary information is recorded on the relevant database.
• Supporting with the administration of Moat’s central archiving systems.
• Help, and in some cases manage, reactive, planned and preventative maintenance across all offices which can include managing the contractors. This may take place ‘out of hours’ at evenings, weekends and at short notice.
• Managing accurate retention of records for maintenance.
• Managing the office compliance logs books for all Moat offices so statutory compliance can be demonstrated.
• Supporting the Head of Health, Safety, and Facilities and Facilities Manager with administrative support for department budgets, which includes raising orders, discrepancies and addressing queries on Proactis. Assist in developing procedural documents for both health and safety, and facilities management as required.
You’ll have:
• Strong administrative experience with good attention to detail.
• Self-motivated with ability to work using own initiative.
• Good literacy and numeracy skills.
• Approachable, calm under pressure with good communication skills
• Proficient in the use of database systems including purchase order systems, MS Office applications (or equivalent)
• A broad understanding of Facilities Management, and health and safety issues, including an understanding of maintenance and service contracts relating to commercial buildings and property, supported by practical experience.
• The ability to travel to different Moat offices at short notice in line with demands of the role.
• An ability to carry out manual handling / physical tasks.
• A valid driving licence and own car (with business insurance)
• The able to work outside of core hours, potentially at short notice i.e. to oversee an emergency repair at an office.
