The role:
This is an exciting opportunity to join our growing group of clinics.
Reporting directly to our Senior Clinic Manager, this role plays an integral part in the day-to-day coordination of our services across multiple clinics. It’s a varied and challenging role that will see you communicating with patients, managing multiple diaries to efficiently co-ordinate activity to the benefit of our patients and help maintain the overall running of the clinics. The end goal is to ensure we maintain our reputation as one of the leading sports injury clinics in London and the surrounding areas.
As the first person our patients will see/be greeted by when arriving to our clinic, the role has a large emphasis on ensuring our patients receive an exceptional experience both in person and over the phone. The successful candidate will ensure the smooth running of the clinic with attention to detail and efficiently and effectively managing the therapists' diaries.
Responsibilities include:
1. Answer emails and the telephones promptly and courteously, retrieve voicemail messages and return calls in a timely manner
2. Communicating with patients about what their treatment entails
3. Manage and oversee the day to day running of the clinics with attention to detail ensuring an exceptional experience for all patients in person and over the phone
4. Ensuring the clinic is organised, clean, ensuring stock levels are maintained and towels washed and prepared each day
5. Ensure all therapists' diaries are managed efficiently, optimising usage of the clinical time
6. Proactively managing clinic activity and patient trackers and ensuring data quality and patient confidentiality/GDPR
7. Update and maintain accurate patient information (scans, referral/consultant letters etc) on the company clinical systems
8. Checking in with therapists to ensure tasks bar is up to date and they have communicated effectively with their patients
9. Maintain professional communication with referrers/intermediary companies regarding the referral process and retain established relationships
10. Ensure full and accurate patient details are collected at the time of booking, collecting patient consent, intake forms, and experience measurables
11. Taking payment before booking over the phone/at the end of appointment, ensuring an accurate record is kept
12. Scheduling and confirming daily appointments as well as cancelling & rescheduling appointments as necessary
13. When required, opening/closing the clinic
14. Contact insurance companies, generate healthcare account reports, organise private medical care documents. Arrange for invoices to be sent
15. Keep abreast of practitioner leave and absences and offer out under-utilised space to other therapists within the clinic
Qualifications & experience required:
As you will be dealing with our valued patients on a daily basis, it’s essential that you have a passion for providing outstanding customer service and attention to detail. You will also be required to work closely with a number of stakeholders in other departments so the ability to build supportive and collaborative relationships with your colleagues is imperative in this role. We need someone who is a strong communicator and thrives under pressure. You must have a 'can-do’ attitude and share our outlook of delivering a first-class service to our patients and the community.
Additionally, we are looking for candidates with the following skills/experience:
1. Strong computer skills using Microsoft Office and Adobe Suites
2. Experience of working in an Administrative and/or Reception role where attention to details and customer service is imperative
3. Multi-tasking and time-management skills, with the ability to prioritise tasks
4. Ability to work in a fast-paced, high-pressure environment
5. Reliable and punctual at all times
6. Demonstrates a willingness to be held accountable for performance
7. Demonstrate great communication skills with peers and management
