Full-Time Job Human Resource Management
Voted “Great Place to Work,” 9Dot Education Solutions is seeking a passionate Project Coordinator who will support some of their HR operations departments.

In this role, you will support 9Dot’s HRIS, HR Helpdesk, Benefits, and implementation departments with process tracking, improvement, and team collaboration. You will also work on projects on the HRIS side with troubleshooting to support the systems team so they may improve any services to our clients.
You will have a home office but be based in the Pasadena, CA area for in-person days (20 days per year) plus travel 15%-20% to the office and to on-site client schools for onboarding processing during summer school staffing.
You will be the right hand to a Director overseeing these departments, providing updates on projects, priorities, and meeting support.

Hours: Monday through Friday – 8am – 5pm – PST
Hourly pay rate range: $23.00 – $27.00 per hour
Responsibilities:
1. Prepares, organizes, and maintains corporate documents and records (i.e., notices, contracts, memos, articles).
2. Reads, sorts, and routes incoming mail and email for the designated department, bringing attention to time-sensitive or priority mail and electronic communication as needed.
3. Reports issues in a timely manner and takes the lead on issue resolution with all parties.
4. Produces and updates Weekly Report for various projects and department tracking.
5. Consolidates Project Reporting and Tracking across Infrastructure and Development.
6. Creates and composes correspondence in concert with the designated department as needed, providing an error-free final product with minimal number of drafts.
7. Reviews, compares, and prepares various legal documents (i.e., proposals, applications) for conformation and consistency.
8. Acts as liaison or representative for the designated department in routine administrative and project coordination activities, phone calls, inquiries, or other matters as designated.
9. Coordinates travel arrangements, itineraries, meetings, and events for the designated department as needed.
10. Reviews and suggests ways to simplify procedures and improve workflow.
11. Provides organizational and clerical support as needed for the designated department.
12. Collects data and prepares reports, including conclusions and recommendations.
13. Maintains and manages designated department expense reports.
14. Arranges conference presentations.
15. Prepares data and training presentations for varied audiences.
16. Interfaces with vendors and outside consultants for project statuses.
17. Manages project assignments and resource allocation.
18. Communicates regularly and clearly with all necessary departments for updates.
19. Collaborates with staff members on completing tasks.
20. Drafts, prepares, distributes, and follows up with various correspondence.
21. Participates in other activities at the discretion of the designated department.
22. Assists with other projects, functions, and duties as assigned.
Knowledge, Skills, and Abilities Required:
1. Ability to identify designated department needs and independently resolve potential problems.
2. Ability to make decisions, exercising reasonable independent judgment and discretion with minimal guidance and/or supervision.
3. Ability to maintain confidentiality and appropriately disseminate information.
4. Ability to follow up on task commitments and give updates as needed.
5. Ability to work efficiently under pressure and meet deadlines while maintaining courtesy and professionalism.

10. High level of proficiency in the use of Microsoft Office programs, especially MS Word, MS Excel, and MS PowerPoint.
11. Ability to type 50 wpm.

Education and Experience:
A four-year college degree with a minimum of five years of related experience. Administrative experience at the executive level or equivalent related experience. Experience in the related field for the designated department preferred.
