White Medical Group in Ponteland are looking for an organised, hardworking and enthusiastic, part-time Medical Secretary to join our admin team!
The Medical Secretary is primarily responsible for undertaking secretarial duties to the clinical team.
A sound professional working relationship will be required with the GPs and staff working within the Practice. The role requires high levels of organisation and excellent interpersonal skills.
DAYS OF WORK: Monday to Friday 32.5 hours per week
Main duties of the job
The role includes a requirement for:
1. Fast and accurate typing/ Word Processing skills
2. Constructing professional/accurate correspondence from GP notes
3. Acting as the central point of contact for clinical staff and patients with referral queries
4. Liaising with multi-professional team members and external agencies to support referrals and follow up information
5. Familiarity with EMIS Web clinical software systems/ eReferral systems
6. Understanding of secondary care clinics and specialties
About us
White Medical Group is a dispensing practice with a patient list size of over 8000 across our main site in Ponteland and branch site in Wylam. Our clinical team consists of 7 GPs, 3 nurses, 1 HCA, and an extensive administrative, reception and dispensing team working to assist the clinical team.
We are looking to appoint a new part-time Medical Secretary with excellent communication and organisational skills, with previous experience as a Medical Secretary, who can complement our supportive admin team.
Job responsibilities
The following are the core responsibilities of the Medical Secretary. This is not an exhaustive list, and other duties may be required to be carried out depending on staffing levels and business needs.
1. Typing letters, reports, and constructing professional/accurate correspondence from GP notes
2. Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently
3. Managing all enquiries in an effective manner
4. Actioning all incoming email as appropriate
5. Processing relevant letters as requested
6. Inputting data into the patients healthcare records as necessary
7. Processing referrals using the electronic referral system (ERS), entering into the appropriate clinic/specialty
8. Clinically coding data on EMIS as required
9. Answering incoming phone calls, transferring calls or dealing with the caller's request appropriately
10. Carrying out system searches as requested
11. Supporting all clinical staff with general secretarial tasks as requested
Person Specification
Qualifications
* Educated to GCSE or equivalent with minimum of Maths and English at Grade C or above.
* Touch typing/other typing/word processing qualification
* Medical Secretarial course/diploma
* Medical Terminology course
