The Head of M365 Digital KIM Operations and team will form part of the wider Data Knowledge and Information Management (DKIM) team in the Cabinet Office.
The team will facilitate the delivery of the Cabinet Office’s priorities and purpose through providing business critical information management services. The Cabinet Office creates some of the most important official records in government, including Prime Ministerial records and the DKIM M365 Ops team will play a key role in managing digital records in line with legislation
The post-holder will have direct line management of a team of individuals, will work collaboratively with the other Grade 7 Heads of Service, key stakeholders and will report to the Head of DKIM.
The role is to:
* Support transition from current systems to M365 and the required data and information migration.
* Establish policies, operational systems and procedures for the effective management of M365, including preparing information architecture for M365, business unit classification, functional classification, retention labelling application.
* Design M365 governance and policy framework.
* Manage the ongoing live service as the principal M365 and Sharepoint Administrator.
Main Responsibilities:
This role is to lead a team, providing Records and Information Management across the M365 environment.
* Management and delivery of Information and Records Management services in M365, supporting the department through best practice, policy development, planning, performance, service delivery and governance.
* Lead a small team of staff specialising in the development and administration of M365 and its core functions and applications.
* Set direction and best practice as the departments corporate information manager for M365 including Site and Teams creation, permissions, retention capability and records and documents life-cycle management.
* Collaborate with the Digital Training Team to develop and deliver Information and Records Management training, guidance and best practice, focused on M365.
* Provide specialist advice concerning managing all aspects of the departments corporate record within the departments M365 system. This will be across the records life-cycle including review and retention, business classification, archive and destruction/disposition.
* Provide specialist information advice identifying and managing areas of risk and improvement in support of the Head of DKIM and IT systems developments.
* Seek continuous service improvement for the performance of the information and records management services provided in M365, conducting evaluations and making recommendations for improving processes and performance.
* Work with the Head of DKIM and other Grade 7 Heads of Service to deliver change projects, managing available resources, planning activity and monitoring progress within agreed timescales/budgets and quality standards.
* Work closely with the G7 DKIM Head of Operations and Compliance through their continuous process of assessment, to be able to drive activity which will achieve necessary cultural change in staff use of M365.
