About the role
The Bid Coordinator is responsible for supporting Bid Managers (Consulting Engineers) in producing bid and proposal documentation, including qualification documents for tendering. As Bid Co-ordinator you will ensure incoming client requests are managed and processed efficiently and monitor the pipeline of upcoming work.
Key responsibilities include working as part of the team to manage the overall bid process and help to improve the efficiency and success rate of the bidding process. You will need to remain agile and respond to the day-to-day priorities. The main duties are:
1. Day-to-day active bid support and pipeline management
2. Co-ordinating proposal input from relevant
3. Gathering and presenting relevant information such as capability statements
4. Managing and tracking bid deadlines
5. Providing quality assurance for bids
6. Co-ordinating the bid/no-bid process
7. Managing the company CRM for new opportunities to enable forward planning
8. Producing and delivering compliant, professionally produced proposals within customer defined timeframes
Tasks will also include:
9. Proactive preparation and horizon scanning
10. Day-to-day scanning of opportunities using portals and other directories
11. Monitoring and managing the incoming enquiries mailbox
12. Updating and managing bid support library that is a searchable reference source that can be used to support future bids
13. Supporting the marketing function with relevant project experience and material
14. Liaising with key staff (either in the UK or globally) to identify high-priority customers, opportunities and markets
15. Quality Assurance and Compliance
16. Ensuring the quality of customer service and products provided reflect the highest standards according to their QMS
17. Maintaining up to date knowledge on our services and customers
18. Always demonstrate the business values and behaviours
19. Ensure the GDPR policy is followed
The role will also provide a range of administrative support services which may include telephone support,organising diaries, managing correspondence, postal services and ensuring relevant internal platforms are kept up to date.
About you
To be successful for the role of Bid Coordinator, you must be / have:
20. Bachelor’s degree in administration, STEM subject or other numerate subject
21. Excellent IT knowledge with the ability to use MS office products including Microsoft
22. Excellent management and leadership skills
23. Excel, Word and PowerPoint to produce bid documents
24. Experience within a similar role in an engineering or consultancy environment will be advantageous
25. Good time management skills and the ability to prioritise competing demands
26. Able to manage multiple projects simultaneously and good attention to detail
27. Excellent written and verbal communication skills for a range of audiences and digital platforms and with regard to the sensitivity of communication
28. Excellent self-presentation and a confident communicator with the ability to present effectively
29. Ability to think creatively to solve problems, with a clear commitment for identifying opportunities and delivering improvements
30. Results driven and able to work to deadlines in a fast-paced environment
31. Able to develop and maintain positive working relationships, working cross functionally and involving others
