This role offers a unique opportunity to shape and enhance our department's efficiency through budget management, IT innovation, and seamless administrative execution.Key Responsibilities:Legal Operations and Administrative LeadershipBe a trusted advisor on legal operations, ensuring smooth day-to-day and strategic functions.Partner closely with the General Counsel (GC) and Associate General Counsel (AGC) to manage scheduling, diary management, travel coordination, and complex expense submissions.Create polished, professional documents, presentations, and training materials.Manage key processes, including contract filing, scanning, archiving, and digital document signature workflows (e.g., DocuSign).IT and Systems InnovationSupport the implementation of legal IT systems, acting as the crucial link between the team, NTS IT, and system providers.Optimize and maintain legal department platforms, including intranet pages, SharePoint, and templates.Be the go-to expert for SAGE, managing invoice processing and ensuring smooth financial workflows.Financial and Performance OversightCollaborate with the GC and AGC to monitor panel law firm performance, streamline billing processes, and implement the Apperio system for efficient budget management.Take charge of financial reporting, ensuring accurate data for leadership meetings and driving actionable insights through tools like Power BI.Support resource allocation and efficiency tracking, contributing to the legal team’s strategic goals.Compliance and Policy DevelopmentPlay a key role in supporting compliance activities, such as FOI requests and 'Speak Up' initiatives.Assist in developing and maintaining clear, actionable legal policies and procedures.Collaborative InitiativesSupport the practical implementation of transformative projects, including panel law firm procurement, KPI tracking, and budget optimization.Organise and execute off-site meetings, team away days, and membership renewals with creativity and precision.What We Offer:An environment where you have the freedom to perform.A culture of helpfulness, working together to support each other and our customers.A drive for confidence, curiosity, and innovation.Qualifications and Experience:Relevant further education qualification and/or work experience.Experience in administrative work and expertise in electronic office tools (Microsoft Office, Outlook, etc.).Experienced in diary management and travel bookings (international management desirable).Experience with legal operations in-house or at a law firm (desirable).Understanding of quality and performance metrics.Ability to manage multiple tasks in a fast-paced environment, prioritizing effectively.High degree of organizational ability and attention to detail.Proactive self-starter, able to work unsupervised and on own initiative.Excellent interpersonal skills, including tact, discretion, and stakeholder liaison.IT proficiency in Microsoft Office packages, video, and telecommunications for meetings.Join Us:If you are adaptable, proactive, resilient, and solutions-focused with a can-do attitude, we want to hear from you!
