They're looking for an organised and enthusiastic individual to join us as their Administrative & Outreach Coordinator, playing a key role in managing operations and promoting their brand.
Key Responsibilities:
1. Administrative Support:
1. Manage incoming emails, phone calls, and social media messages professionally and promptly.
2. Prepare, format, and distribute documents such as contracts, workshop materials, and reports.
3. Organise meetings, prepare agendas, and take minutes.
4. Update and maintain CRM systems or spreadsheets with customer and wholesale account details.
5. Assist with scheduling and managing social media posts or email campaigns.
2. Outreach and Promotion:
1. Actively reach out to local groups and organisations to promote their sewing workshops and talks.
2. Engage with wholesale customer inquiries, including setting up accounts and maintaining strong relationships.
3. Actively plan and organise the company’s attendance at sewing and quilting shows across the UK and Northern Ireland.
4. Take charge of logistics, including coordinating travel arrangements, scheduling, and ensuring all necessary materials and products are prepared for the events.
5. Load and drive the company van to and from events, ensuring the safe transport of goods and display materials.
6. Unload, set up, and dismantle the display booth or stand, creating an inviting and professional space to promote their brand.
7. Represent the company at events, engaging with attendees to assist with inquiries, provide technical support, and promote products and workshops.
3. Bookings and Coordination:
1. Handle bookings for sewing instructors and ensure seamless communication between customers and instructors.
2. Organise training sessions for their sewing instructors, including scheduling and ensuring they receive all necessary materials, tasks, and instructions in advance for each session.
3. Coordinate and manage bookings for their team of sewing instructors, ensuring their individual calendars are up-to-date and they have all necessary details, including teaching locations, travel arrangements, class content, discount codes, and required products.
4. Managing instructor invoices and expenses.
5. Proactively identify, reach out to, and engage potential candidates for their UK workshop instructor team, and their teacher program.
Requirements:
1. Exceptional organisational and communication skills.
2. Valid UK Driving License.
3. French Language Skills [Desirable].
4. Confident in managing multiple tasks and prioritising effectively.
5. Proactive and personable, with an ability to build relationships with diverse groups.
6. Comfortable with social media platforms, email, and basic technical troubleshooting.
7. Interest or experience in sewing, quilting, or the creative arts is a plus but not essential.
8. Willingness to travel within the UK and Northern Ireland.
