About the role
This is a fantastic opportunity to join us at Cormac as the receptionist for our Head Office building at Scorrier, with additional responsibilities for some elements of building management and delivering the technical library services for Cormac, other divisions of Corserv Solutions Ltd and relevant elements of Cornwall Council.
The role will involve provision of the front of house receptionist service and building co-ordination for the Cormac Head Office and to contribute to the provision of a high-quality back office provision in all aspects of technical support.
Alongside these duties the post holder will also undertake the management of the physical library recourses, online subscriptions and systems, early notification of new or changing standards and management of an efficient and effective archive service. Working with design and construction professionals this side of the role provides essential technical information ensuring accuracy and probity in support of Corserv’s engineering services.
The role is located in Cornwall with your working base being Scorrier. Due to the nature of the role daily in person attendance on site is required .
Some of your key responsibilities will be:
Reception / Building Control Accountabilities
1. To be front face of Cormac Head Office, manning the reception desk, meeting and directing visitors and staff where required, answering queries or directing these to the appropriate member of staff; to take and transfer any messages to the appropriate staff.
2. To manage internal and external post, parcels and larger deliveries being delivered to the building, ensuring appropriate storage and onward delivery where necessary; to process received invoices directly into the finance system; to collate and manage internal outward-bound post ready for collection.
3. To manage building co-ordination in liaison with the Building Management Team, to ensure all legally and internally required checks, tests and other related tasks are completed; to maintain the building information book and associated records; to act as the lead fire warden for the main Scorrier building and to hold a suitable first aid qualification and act as a named first aider for the building.
4. To manage bookings for the meetings rooms, including organising door notices of confirmed booking on a day to day basis and facilitating / ordering and delivery of provision for refreshments when required.
5. Managing office inventory such as stationery, equipment and furniture.
6. Managing safety and hygiene of communal areas of the building and reporting any necessary building defects as identified or notified by others.
Technical Library Accountabilities
7. To be responsible for the day-to-day management of the technical library and the library system (heritage IV) including upgrades/resolution of technical faults, stock management, new purchases and controlling of resources including cataloguing and classification of stock to recognised classification system(s).
8. To answer queries assisting staff and carrying out research; dissemination of relevant information to staff.
9. To develop the library to become a modern digitally based offering as far as practicable, as well as improving accessibility for users by maximising the use of information technology including digital, on-line resources, e-books, the internet/IMS.
10. To manage online databases/catalogues and be the lead contact and administrator for online resources / suppliers ( BS, IHS, BCIS, DCP, Compass Online, NEC, IET wiring regulations), activating accounts and maintaining users, arranging and carrying out training to assist users in the use of online products to access information required.
11. Management of archiving records ensuring accessibility and appropriate collection / retrieval / return of material/ retention / extension / destruction in liaison with relevant staff; maintain indexes and records of archived material; act as point of contact with Document Storage in maintaining records at ReStore; guide and instruct users of CDView electronic archive database to locate information.
12. Provide a central ordering point for the purchasing of books and documents, including subscriptions and corporate memberships.
13. Providing, distributing, and scheduling timely loans of training materials to staff ie CSCS and LGV.

About you
We are looking for you to bring:
14. Qualified with five GCSEs at grade C or above and be educated to NVQ three level or equivalent or possess an appropriate vocations / professional qualification or can demonstrate relevant experience.
15. To hold or be capable of obtaining First Aider and Fire Warden qualification.
16. Demonstratable knowledge of working in a customer facing role with ability to use a combination of general administrative skills and knowledge.
17. Knowledge of relevant legislation copyright law, data protection act, freedom of information act.
18. Excellent organisational and information management skills, with excellent attention to detail
19. Proven experience of managing, organising and delivering database searching, database maintenance, library or information management and working with online resources.
20. Excellent verbal and written communication skills with a strong customer focus, able to communicate with all levels of staff and to work accurately and efficiently on several tasks.
21. Ability to provide a range of information services ( book and serial management, cataloguing and classification, document delivery and current awareness).
22. Ability to work to tight deadlines, to take decisions, to provide accurate information and prioritise work without supervision.
23. Demonstrates excellent IT skills: Microsoft Office applications – Word, Excel.
24. The role holder will be required to provide a suitable vehicle and hold a full UK Driving License.
