Monday to Friday, 9am -5pm, 40 hours per week Salary: £25,500 per year Office based near Southwark with occasional travel to Lewisham Our client is seeking an experienced Administrative and Reception Officer to support operations across managed sites in Lewisham and Southwark. This role will play a key part in ensuring the efficient administration of our clients’ projects, handling bookings, financial tracking, compliance tasks, and front of house role. The role is crucial in providing organisational support, streamlining processes, and ensuring the smooth running of their services. Key Responsibilities - Administrative Duties Oversee bookings and generate enquiries for the hire of their facilities, ensuring sites operate at bookable capacity. Maintain accurate records of bookings, ensuring clear communication with clients and adherence to booking policies. Assist with the marketing and promotion of venues through social media, community networks, and other marketing channels. Support projects by handling administrative tasks such as updating registers, processing incident and accident reports, administering surveys, and recording participant data on relevant monitoring and evaluation systems. Ensure timely completion of administrative duties related to the client’s programmes, ensuring compliance with requirements. Manage and oversee the clients Single Central Register, ensuring accurate and up-to-date records in collaboration with the Designated Safeguarding Lead (DSL). Work with project leads to raise and send invoices, track outstanding payments, and maintain financial compliance. Procure items and resources as required for venues and projects. Generate and manage the monthly staff rota for recreation assistants across their venues. Manage and scheduling meetings, appointments for the Trust. Assist in the promotion of programmes and initiatives at venues to increase awareness and participation. Act as the first point of contact for all queries via telephone, email, and in person, ensuring efficient communication and resolution of enquiries. Collect, format, and process staff timesheets, ensuring they are submitted to managers for review and approval before being sent to HR for final processing. Undertake any other relevant administrative duties as deemed necessary by the CEO/SLT to support the efficient operation of the business. Stay up to date and comply with all policies and procedures, including Safeguarding, Health & Safety, and emergency protocols, as well as those of external venues where required, which undertakes the compliance and policy adherence. Undertake other administrative duties as necessary to support the efficient delivery of services. Basic Facility Support Duties Ensure compliance with Health & Safety regulations, reporting any maintenance requirements to the designated contractor. Handle front-facing enquiries and complaints in line with policies, ensuring a high standard of customer service. Maintain high standards of professional behaviour towards colleagues, the young people with who the client engages, and the wider public while representing the client. Engage in regular professional development as set by the client to enhance personal growth and contribute to the client’s high industry standards. Person Specification: Customer Service Level 2 (desired) Level 1 Health and Safety (desired) Self-motivated, committed, and reliable in assigned tasks. Strong experience in administrative management. Experience in administrative roles, customer service, or facility management. Excellent organisational and time management skills. Ability to communicate effectively with clients, colleagues, and external stakeholders. Proficiency in IT systems, including booking management platforms and Microsoft Office. Understanding of Health & Safety procedures and administrative best practices. Ability to work flexibly, including occasional evenings and weekends as required.
