Responsibilities:
1. Support the Engineering & Design Department through provision of Document Control and Office Administration duties.
2. Data Management including Document Control.
3. Receipt and issue of project documentation and drawings using client document control systems (i.e., 4projects, Share Point, etc.).
4. Compliance with company integrated management system to ISO9001 and ISO 14001.
5. Administration of electronic filing systems.
6. General office administration activities associated with a busy engineering design office.
7. Project handover support including Operation & Maintenance Manuals.
8. General support to department Engineers and Designers.
Role Detail Description:
The Document Controller will work closely with the Engineering & Design Team Leads to support the efficient and effective delivery of department Engineering & Design services. The post holder will:
1. Undertake department Document Control activities, utilising where required and appropriate client specified document control systems and portals.
2. Support in the development of the department's Document Control Strategy.
3. Ensure client confidentiality.
4. Support effective delivery of projects to time, quality, and cost targets.
5. Undertake activities in accordance with defined standards/quality requirements.
6. Liaise with design subcontractors (e.g., 3D Site Surveys).
7. Lead the improvement of performance by seeking, reviewing, and applying innovative solutions.
8. Have excellent time management skills and ability to multi-task and prioritise.
9. Mentor/train other team members.
10. Provide effective, accurate & efficient Document Control services to both internal & external customers.
11. Interface with other departments such as E&I, Technology, Mechanical, BESe.
Skills Knowledge:
1. Higher education in a technical engineering related subject.
2. Strong experience in UK construction projects.
3. Knowledge and experience of using proprietary document control systems.
4. Experience of M&E design practices (Focus on E & I).
5. Strong understanding of design process & associated documentation.
6. Project lifecycle experience.
7. Understanding of build-up of O&M manuals would be advantageous.
8. In-depth knowledge and understanding of data and administrative management practices and procedures.
9. Collaborative skills and experience working as part of a multi-discipline team.
Essential Skills:
1. Competent in using Microsoft suite (i.e., Word, Excel, PowerPoint, etc.).
2. Any additional experience of using other collaborative software to aid document control process within a project office environment would be desirable.
3. Familiarity with proprietary document controller software platforms would be advantageous.
