PERSONAL ASSISTANT TO THE LEADERSHIP TEAM & CLERK TO GOVERNORS (COMBINED ROLE)

Actual Salary £23,053.00 - £25,029.00
Full time – 32.5 hours per week (8.00-15.00 with half an hour unpaid break)
Term time, plus INSET days (x5) plus 2 additional weeks = 41 weeks per year
Bettridge is a Special School for pupils aged 2-19 who have a wide range of learning difficulties ranging from moderate to profound. Many have challenging behaviours and complex medical needs. A focus on empowering and supporting pupils to achieve the best possible outcomes is central to the role of all staff members.
The Governors are seeking to appoint a Personal Assistant to sit flexibly alongside Clerk to Governing Body hours. Clerking to the Governing Body Hours will involve a flexible arrangement across days worked as PA for Senior Leadership Team for approximately 120 hours per annum, equivalent to 3 hours per week, term-time only. The hours are made up of 6 Full Governing Body meetings (max 2 hours each) per year and 15 Committee meetings (approx. 1 hour each) across the course of the year. All meetings take place during the school day. Hours also include preparation of paperwork for committee meetings and follow up with distribution of minutes from meetings. Someone who has current experience of the role of Personal Assistant and/or clerking in education/school governance would be an advantage but not essential.
Main Responsibilities of the Personal Assistant:
1. Respond directly to staff, parents and members of the public on the SLT’s behalf
2. Receive, filter and respond to phone calls for the Headteacher
3. Arrange meetings on the Headteacher’s behalf and that of the wider SLT
4. Maintain efficient and accurate files (both electronic and hard copy) of all documents on behalf of the Headteacher and wider SLT
5. Maintain an up-to-date diary of the Headteacher’s commitments
6. Type letters and e-mails on behalf of the Headteacher and the wider SLT
7. Prepare paperwork for meetings
8. Investigate travel arrangements & booking arrangements for the SLT
9. Greet and welcome visitors to the school on the Headteacher’s behalf when required
Main Responsibilities of the Clerk:
1. Manage the affairs of the Governing Body including preparing the agenda and papers for all governor meetings, arranging the meetings themselves and taking detailed accurate minutes for distribution
2. Advise the Governing Body on procedural and constitutional matters, duties and powers and work within the broad current legislative framework
3. Secure the continuity of Governing Body business which includes reminding Governors about dates, times and required documentation within specific deadlines ensuring all legal guidelines are met. This includes liaison with Local Authority Governor Support and attending relevant Governor Training and Clerk meetings
4. Organise and attend appeals panels, maintaining the Governor calendar and portal
