Your future, your role
As an Estates Coordinator, you’ll be:
1. Working closely with the Estates Surveyors and Finance, ensuring systems are kept up to date, paying correct rent to Landlords, and processing new Standing Orders and BACS requests following lease changes.
2. Maintaining property systems, databases, and digital/hard copy files for all property documents and trackers including Critical Dates & Surplus Property.
3. Supporting the Estates Surveyors in raising capital expenditure requests and purchase orders for suppliers for professional instructions.
4. Coordinating 3rd party consultants around surplus property compliance and ensuring that vacant sites are compliant across the estate.
5. Communicating relevant portfolio changes to wider internal/external stakeholders.
6. Resolving discrepancies between systems, primarily related to rent.
7. Providing property maintenance support to the Estates Surveyors and maintaining the works tracker/communication with internal stakeholders (e.g. H&S or Facilities).
8. Providing budgeting support to the Head of Estates & Estates Surveyors as required.
9. Collating all LL insurance documents and saving to the property drive once approved, sharing policy documents of self-insured sites with Landlords on request.
10. Managing the Estates inbox ensuring that items are dealt with promptly.
11. Providing general administration support including dealing with incoming calls, post, filing, etc.
Ideal Candidate:
* Strong background in administration with excellent organization and attention to detail.
* Experience in a property environment, capable of dealing with property queries and working as part of a wider team.
* Excellent communication skills, able to develop relationships to resolve issues/tasks efficiently.
* Highly self-motivated, a good team player, and able to work under initiative. Flexibility is essential to support wider business requirements.
* Capable of managing, prioritizing, and organizing workload to support the wider team.
* Experience in a medical-related property field is desirable but not essential if a strong track record of delivery is demonstrated.
* Proficiency in Microsoft software is essential.
