Your Responsibilities
Business Development Inbox Management:
* Serve as the central point of contact for the Business Development inbox, proactively managing and triaging all incoming communications.
* Critically assess the content of each email, determining the necessary action and efficiently disseminating information to the relevant personnel.
* Meticulously organise clarification documents from bd inbox, ensuring accurate filing within both Business Development and Tenders folders. Promptly notify estimators and the Business Development team of received clarifications, submission requirements, and any amendments to deadlines.
* Escalate critical actions, such as tender assessments, site visits, or key events, to senior management for inclusion in their diaries as required.
* Evaluate opportunities identified through B2B platforms and similar channels, escalating promising leads to line management for further consideration.
Portal Management
* Conduct daily monitoring of relevant portals to identify new business opportunities.
* Ensure the comprehensive and systematic downloading and organisation of all tender-related documentation within designated project folders.
* Efficiently manage the retrieval and storage of all clarification documents and supplementary materials.
Tender Production Support
* Maintain and update the business development database, with precision, ensuring all relevant data is consistently accurate and current.
* Manage key tender dates informing the pre-con team and adding to the appropriate personnel’s calendar
* Establish well-structured new tender folders in both Business Development and Correspondence Tenders directories in advance of tender response activities.
* Generate initial drafts of case study content, to be subsequently refined by the Bid Writer and finalised for branding by the Digital Marketing Apprentice.
* Develop comprehensive and accurate Compliance Matrices for each new tender, meticulously extracting all necessary information from the Invitation to Tender (ITT) to ensure full company compliance with all bid requirements.
* Complete PAS 91 pre-qualification questionnaires and Selection Questionnaires with accuracy and attention to detail.
* Prepare and submit Expression of Interest (EOI) forms as required.
* Undertake ad hoc tasks as directed by the Business Development Manager and Bid Writer, as required by the needs of the department.
