Provide assistant and administrative support to the Culture & OD team, including responding to queries, organising and supporting meetings and training webinars, inputting and processing of requests via Oracle, and maintaining accurate records. Act as the first point of contact for internal and external enquiries via the Culture & OD team's shared inboxes, telephone or in-person events, receiving and sending information using tact or persuasion that is complex or sensitive in nature, such as course enquiries and applications, learner progress updates and other management data, with Trust colleagues, other departments and external suppliers where appropriate which relates to C&OD processes, procedures and activities, actioning or escalating to C&OD colleagues as appropriate. Liaise with other directorates and staff at all levels, both internally and externally. To be responsible for initiating and sending out routine correspondence, including signposting to the Culture & OD team's existing resources and training offers, and signposting to further Trust support, e.g. Occupational Health and Interpreting and Translation services. Support the organisation and delivery of Culture & OD-related meetings and training webinars: e.g. sending out the agenda, taking minutes, logging actions. Maintain the Culture & OD team's live project plan, updated monthly in team meetings. Assist in the coordination, publicising and on-the-day logistics of face-to-face and virtual events relating to the Culture & OD team e.g. Leadership Plus workshops, Culture & OD delivery workshops, Inclusion Calendar events and others, as needed. Work alongside the Culture & OD Officer to support all aspects of the Leadership Development Programme (Leadership Plus) including responding to applicants, organisation of sessions, development and distribution of evaluation surveys and liaising with programme facilitators in relation to the running of the programme. Work alongside the Workforce EDI Officer to support the delivery of a wide range of EDI-related activities in support of the objectives outlined in the Trust's EDI Improvement Plan 2023-25. Provide general administrative support to the Culture & OD team as needed e.g. fulfilling reasonable adjustments orders, collation of Occupational Health usage data. Assist in gathering and analysing data related to all aspects of the work of the Culture & OD team. Stay updated on relevant policies, legislation and reports relevant to the work of the Culture & OD Team. Support the other Culture & OD Assistant when needed, undertaking duties and providing ad hoc cover for holidays, sickness and other absence when required. Undertake other ad hoc duties and tasks as requested that are commensurate with the general duties and banding of this post.
