Rotational Maternity Ward Clerk

We are looking for a Ward Clerk to work as a member of the Women and Children’s Directorate team providing reception and clerical support, relieving midwifery staff of routine clerical duties and assisting with effective administration of the department. The successful candidate will be required:
1. To collate and disseminate specialist information to the relevant personnel and departments.
2. To request, compile and collate notes and complete any relevant necessary filing.
3. To assist in the day to day running of the Maternity Department.
4. To ensure patient centre systems are updated over the weekend.
5. Full week cover will be required (Monday – Sunday), working hours needed will be flexible according to needs of the service, covering the hours between 8am till 10pm, at 5 x 7.5 hours’ days.
Main duties of the job
1. To answer the telephone referring all enquiries to the relevant person or department. Monitor the security video controlled entry bell, giving directions and instructions as required.
2. Distribute the post, undertake errands to other departments as necessary, e.g. Pharmacy; take any forms for requested investigations to the relevant department etc. and obtain medical notes as required according to the department’s needs.
3. To receive, under the direction of the Shift Co-ordinator, all new patients and complete documentation as appropriate.
4. To collect / photocopying of notes and midwifery documentation etc. Informing all relevant parties both internally and externally and liaise as appropriate.
5. For discharge purposes, to organise transfers home as requested, making any necessary arrangements, including any Out-patient appointments, collection of drugs, documentation, returning case notes etc. to appropriate departments.
6. To be responsible for cancelling any appointments and updating the computer system when required.
7. To protect the confidentiality of information relating to the Trust, patients, staff or other agencies.
8. Take responsibility for ordering stock for specific maternity areas when appropriate.
9. File laboratory result forms in patient’s case notes after scrutiny by trained staff.
10. To utilise keyboard skills and computer knowledge, as appropriate, including inputting admission and discharge details on PAS in the absence of the Receptionist.

Person specification
Education and Training
* English Language GCSE or equivalent and general education to GCSE level.
* Previous NHS training knowledge.
Knowledge and Skills
* Good communication, organisation and keyboard skills.
* Previous PAS experience.
Experience
* Previous clerical or administration work.
* Previous NHS / public sector experience.
