The Student Services Manager position is primarily responsible for overseeing the student services provided by the Higher Education provision across all campuses, including London, Birmingham, and Nottingham. This involves admissions, attendance, safeguarding, welfare, engagement, and retention functions.
The position is responsible for day-to-day financial operations linked to these services and to the organization in general. The Student Services Manager ensures the smooth processing of all student services as well as the organizations finances and reports to the Operations Manager. To enable this, the Student Services Manager will manage a team of Student and Academic Support Officers across all locations.
The role holder will ensure the Higher Education Establishment’s Management receives correct and informative reports and analysis, informed by their monitoring of the levels and standards of Student Services provided in liaison with the Operations Manager, Academic Director, Academic Managers, Managing Director, agents, sponsors, and all internal and external stakeholders, ensuring effective communications and high levels of customer satisfaction.
The role holder will undergo any training or development relevant to the role as required and participate in meetings as necessary. They will develop strategies, policies, and procedures to define and enhance the student experience, especially focusing on engagement and retention.
Responsibilities:
Engagement & Retention:
* Line manage the Academic Student Support Officers, providing all training and supervision to achieve the engagement and retention metrics.
* Support the engagement and retention strategy to enhance the student population and experience.
* Understand the student lifecycle, resolving issues accurately and timely, offering options for students that are clearly explained.
* Ensure students from all demographics and academic backgrounds are adequately represented in student initiatives.
* Familiarize with college IT systems and VLE, particularly Canvas and SIS.
* Contribute proactively to create an exceptional experience for the arrival and induction of new students.
* Organize events such as Induction and Graduation.
* Support academic teams with the integration of students into campus life.
* Develop an effective engagement strategy to connect with the student population through social events and activities.
* Provide high-quality client service, including front counter information and advice.
* Report and analyze engagement and retention statistics during the student lifecycle.
* Collaborate with the social media team to showcase student work online.
* Develop the Student Voice through the student forum.
* Sit on the Attendance and Retention Board.
Financial Operations:
* Develop working relationships with various suppliers.
* Receive invoices, liaise with accounts, and manage workflow through Agresso.
* Liaise with the Accounts Team to process payments to suppliers.
* Manage the effective day-to-day provision of services according to contractual agreements.
* Ensure effective service provision from third-party suppliers.
* Manage procurement of academic resources and equipment based on requests from the Academic team.
* Work with Finance and Accounts to process incoming invoices and manage payments.
* Liaise with finance department and recruiters to ensure full payment of fees.
* Track sales income and report to the Operations Manager.
* Ensure accurate reporting on financial matters related to budget allocations.
Accommodation & Admissions:
* Liaise with the SMS Team regarding the student database when necessary.
* Report on student numbers and related finances to management.
* Track and process sponsored student documentation.
* Develop and implement new administrative systems, processes, policies, and procedures.
* Manage relevant budgets and report to Operations Manager and Managing Director.
* Oversee accommodation provision and services.
* Address complaints or issues relating to accommodation.
Person Specification:
* A degree in a relevant field such as Business, Operations Management, or equivalent experience – Essential
* Experience within an administrative role
* Knowledge of relevant software packages
* Excellent leadership and people management skills
* Strong interpersonal and time management skills
* Resourceful and proactive
* Flexible, adaptable, and responsive
* Able to work independently and take direction
