The opportunity
We are looking for an Office Coordinator to join our team at our Gateshead, Baltic office!
As our Office Coordinator you will oversee the administrative activities that facilitate the smooth running of our office, organising people, information, and other resources. You will ensure that office equipment is maintained to the appropriate quality and quantity, relevant records are up to date and all administrative processes work effectively.
You will also provide assistance to the Executive Support Manager in supporting the Senior Leadership Team in ensuring the successful running of business services. This may include making travel arrangements, fleet management and facilities support.
What is the job about?
Supporting Executive Assistant and Directors:
* Assist EA with important meetings, note taking when required.
* Work with Marketing/Events Teams with Incentives/launches.
* Assist EA with the administration of EV Salary Sacrifice Scheme, ensuring vehicles are procured, payroll is updated, insurance MID system updated. Work with Legal and HR to ensure Salary Sacrifice Documents are signed and filed and DVLA checks are conducted.
* Extensive multi-city travel booking for Directors/Executives and the wider team.
* Provide support to the ESM with administrative tasks.
* Support Directors/Heads of Department with administrative tasks such as travel, expenses, collating feedback, preparing meeting agendas etc.
Health and Safety:
* Liaising with key stakeholders on health and safety/ facilities relating tasks, including when work is to be conducted on site and ensuring that appropriate paperwork is completed and appropriate communications are sent.
Visitor Experience/Reception:
* Provide an exceptional experience for all visitors on site including meeting and greeting guests, guest sign in, pro-actively organising visitor parking spaces in advance of meetings.
* Post duties – sorting post/arranging courier services for parcels, including sending out home workers IT equipment and arranging couriers for the return of home worker leavers equipment/taking post to the local post office.
* Room bookings and preparation of documents – cross site.
* Set up meeting rooms with refreshments for internal/external meetings.
* Working with Recruitment to ensure new starters are greeted and receive a great first day experience.
* Consult with IT/Recruitment for onboarding new starters, ensuring security passes are available.
* Maintain a clean, welcoming reception area and provide a world class welcome service to visitors.
Governance and Risk:
* Will support the EA/BSL with any tasks associated with governance and risk.
General:
* Effectively look for opportunities to improve processes within business support services and propose cost saving initiatives.
* Support our partners/suppliers in catering services with promotion of services.
* Ensure communications boards are up to date with CSR initiatives and engagement pieces.
* Monitor and order stationery for all UK sites.
* Process orders for benefits/initiatives such as weekly deliveries of milk, tea, coffee, and fruit for Baltic Site.
* Car park management and facilitation.
* Stocking of vending machines and changing of water fountains.
* Ordering of Equipment both Riga and Baltic including Headsets, IT Equipment, Cleaning Equipment/Materials, CSR products such as cups, easter eggs, items for celebration days, any ad hoc items needed for site.
* Liaising with storage facilities and setting up accounts.
* Any ad-hoc duties deemed fit and appropriate from time to time in the context of the role.
What we’re looking for
* Someone with strong administration experience in a similar role
* Knowledge of Microsoft Office Suite (Word, PowerPoint, Excel) and other commonly used office packages.
* Experience of working in an Administrative/Reception role
* Proficient in the ordering of office consumables and dealing with suppliers.
* The ability to manage own workload, prioritise tasks appropriately, and be adaptable to change.
* Excellent interpersonal, oral, and written communication skills
* Great attention to detail.
* A problem-solving approach to work.
* A basic understanding of health, safety, and facilities.
* Working with travel booking systems
* Pro-Active and able to work on own initiative.
* Positive ‘can do’ attitude with a desire to succeed
* At least 2 years Administrative Experience
* NVQ Level 2 in Business Administration or equivalent
* Experience of providing Admin Support for Company Fleet Vehicle Schemes (desirable)
