About the Role:
The HR Quality Assurance & Compliance Advisor will work closely with the People Systems team who are responsible for delivering changes in Workday and support UAT testing of HR Workday efficiency projects. Leading the testing phase of projects by coordinating stakeholder testing, building test plans and advising the project lead on testing matters/outcomes.
They will support with advising the wider HR team and employees on compliance matters. Conducting compliance checks and ensuring that processes, policies and SharePoint content are efficient, user-friendly, up-to-date and consistent.
Works within the HR Services Team to deliver HR services, ensuring seamless delivery and providing cover to support the team.
Key Accountabilities (Duties):
1. Support Workday HR efficiency projects:
* build process maps and create RACIs.
* propose solutions to project leads and keep them up to date on progress.
* work with project leads, sponsors and users to understand test scenarios to build out test plans for user testing and create documents to outline the proposed changes and the steps involved.
* lead and support co-ordination of user acceptance testing with relevant stakeholders.
* work with stakeholders to complete UAT ensuring functionality is user-friendly and works as required to meet the business’s needs.
* identify inefficiencies and errors in testing and report back to People Systems by agreed methods e.g. Smartsheet.
* communicate with project leads on test progress and sign-off on completion.
* produce “How To” guides and work instructions.
* contributing to training and support for the people affected by new system and processes.
* supporting implementation with hyper care.
* maintain guidance document post implementation for three months and then arrange handover to SME.
* support BAU requests from People Systems for ad hoc UAT testing where HR is a contributor.
* support with ad hoc People Systems request for support with Workday releases.
* support with ad hoc testing requests from content owners outside of HR.
Other Duties:
* to create, customise and add content to HR SharePoint and Manager Toolkit sites, ensuring that content is always user-friendly and visually appealing to employees, whilst maintaining consistency in formatting.
* monitor and maintain access to the Manager Toolkit site, adding or removing access each month.
* ensure that information published to SharePoint remains up to date and relevant, including coordinating policy/content owners to review policies and SharePoint content each month in line with the SharePoint Governance Procedure.
* support with the formatting and writing of HR policies and procedures, maintaining version control and ensuring that policies and procedures follow a consistent format, communicating with external providers to do so where necessary.
* to support, where HR has responsibility, with the requirements to maintain certification of ISO standards (Quality, Sustainability etc). Ensures that audit actions for HR are completed in a timely manner and updated on the relevant systems evidencing compliance. Regularly reviews and maintains documentation that supports the certification/re-certification process.
* process, log and maintain conflict of interest declarations, conducting research into requests.
* conduct compliance checks of HR processes in line with the process. Challenge discrepancies where necessary.
* support the creation of Data Protection Impact Assessments (DPIA), assess and ensure appropriate actions are followed up, and that the Record of Processing Activity is updated.
* be a privacy champion and support with the investigation and reporting of data breaches.
* maintain an up to date understanding of immigration and sponsorship legislation to support/cover the HR Immigration & Data Advisor where necessary.
* to provide cover/support across the HR Service Ops areas.
