PA to CEO and Business Support Administrator (Initial 6-month FTC) Company Overview: Join Telespazio UK, a pioneering leader in satellite communications and space technology. Objective: The PA to CEO and Business Support Administrator is crucial in ensuring the smooth operation of Telespazio UK. This role offers essential support and administration to the CEO and Senior Leadership Team, encompassing a variety of tasks within the company's established systems and procedures, which are vital for the business's overall functionality. Responsibilities: CEO and SLT Support: • Prioritise and manage the CEO's inbox. • Arrange travel for the CEO and Senior Leadership Team (SLT). • Book meeting rooms both on-site and off-site. • Liaise with external stakeholders and customers on behalf of the CEO. • Provide extensive diary management for the CEO and SLT. • Assist with expense claims and submissions. • Reconcile credit card statements. • Approve SLT holiday requests on behalf of the CEO. • Finance RTP’s – Project and all functions • Act as point of contact for support with International visitors. Admin Support: • Handle post, parcels, and couriers as needed. • Answer switchboard calls. • Organise lunches and refreshments for meetings. • Ensure visitors to the site are booked in. • Order office stationery and replenish the stationery cupboard. • Purchase items from Amazon and manage gift card purchases. Support Key Meetings, Reviews and Events. • Organise, prepare for, and log actions for key business meetings, including Integrated Business Reviews, ITG reviews, Business Function meetings, Management meetings, Campaign reviews, Project Reviews, ICT Forum, and New Starter meetings. • Support the management of key events such as company events, Christmas parties, special events, Town Hall meetings, and Roadshows • Take a proactive approach to booking accommodation for key events, utilising the marketing and sales key events timetable to identify and secure suitable, cost-effective accommodation for staff up to a year in advance. • Attend monthly Leonardo Facilities meetings with wider company attendees, draft agenda items for Telespazio, and support the implementation of ongoing changes.
