About the role: To provide administrative support to the Operational Contract Management team for all contracts including lead renewal replacement programme to enable effective day-to-day delivery of tasks. What you’ll be doing: Manage the raising of purchase requisitions for all Operational managed contracts and assist with any queries. Enter and manage all receipts relating to goods and services received for all Operational contract purchase orders and submit order amendments as required. Raise ad-hoc requisitions to support the Operations functions in a timely basis. Review and monitor all invoices and backing data related to Operational contracts to ensure data accuracy and payment. Provide detailed feedback on data accuracy for the performance meetings and carry out spot audits as required. Raise work orders and projects codes as required. Take minutes of meetings as and when required. Meetings may be at various venues across the area and there will be occasional requirement to travel to other sites within the area. Will include organising venues and catering for meetings. Support of maintaining a team mailbox, ensuring emails are well organised and are filled efficiently. Enter contractual KPI data and maintain key registers for all operational managed contracts. Liaise with contractors to ensure key business deadlines are met. Run routine and ad hoc reports and distribute as required. Manage and support the Operational contract systems to ensure data is loaded and maintained. Support the Operational Contracts Team with any general administrative duties as required. Liaise with relevant departments in SWW to provide support needed and maintain effective communication. What we are looking for: A good level of GSCE Qualifications Proven experience of working in a busy office environment Proven track record of working to deadlines Previous experience working on own initiative and / or working as part of team Good organisational skills, self-motivation and the ability to prioritise workload Excellent communication skills, both oral and written, with an exceptional telephone manner Good, solid administration skills including knowledge / experience of computerised file management/ICT skills Excellent working knowledge of Microsoft Office applications, particularly excel Ability to be an effective and flexible member of a team Willingness to learn new tasks and take on new challenges.
