Site Administrator – Oxford (6 Month Fixed Term Contract)
Reporting to:
Site Manager/Senior Site Manager/Contracts Manager
Purpose of job/basic function:
This role is responsible for providing clerical and administrative support to ensure the smooth running of Alumet’s site operations.
Main Activities/Responsibilities:
* Preparation of correspondence, induction documentation and other documents (including the weekly Health and Safety Friday packs), as required by the Project team.
* Establishing and maintaining site files in accordance with Alumet’s Management System.
* Scanning, photocopying, distributing and filing documents as required.
* Updating the training database as required.
* Maintaining the site’s CAD drawing registers and files.
* Administration of Fieldview (Quality Management System).
* Arranging site meetings and taking minutes as appropriate.
* Liaising with the Main Contractor’s Project Team and other sub-contractors as required.
* Assisting with booking and co-ordinating deliveries to site.
* Placing orders for materials/work equipment, both internally and externally with suppliers.
* Assisting the Project team to ensure all records are kept up to date.
* Maintaining areas of work in a clean and tidy state.
Other Responsibilities:
* Ensuring any paperwork is maintained in the correct manner.
* Any other duties relevant to the role or as required by the manager.
* Acting as an ambassador/exemplar of Alumet Systems and embracing/supporting/promoting the Company culture and values.
* Seeking and developing ongoing continuous improvement.
* To comply with any objectives/targets/KPIs given.
* To comply with all Company policies including Alumet’s Health & Safety and Environmental/Sustainability Policies.
Training & Development:
* Attending any internal/external training courses relevant to the role or as required by the Company.
Knowledge & Experience:
* Strong administration experience.
* Experience of working as a Site Administrator on a construction site is essential.
* Current CSCS card would be an advantage.
* Excellent IT skills in Microsoft programmes, especially Word and Excel.
* Knowledge of Fieldview (or other Quality Management System) would be beneficial.
* Good written and verbal communication skills.
* Organised, diligent and methodical.
* Excellent attention to detail.
* Good team player.
* Ability to multitask and work under pressure.
* Strong interpersonal skills.
