* One (1) year minimum of administrative support duties, dealing with contracts, data entry systems, or processing reports utilizing systems and Excel (Public or Private).
* Ability to routinely lift 25 pounds and up to 60 pounds. On occasion, more weight with assistance.
The starting salary will be $15.00 - $20.00 per hour, depending on experience.
Employees of the Department of Financial Services are paid on a monthly pay cycle.
This position requires a security background check, including fingerprint as a condition of employment.
Responses to qualifying questions must be clearly supported by the state application and any omission, falsification, or misrepresentation in the answering of the qualifying questions will be cause for immediate elimination from the selection process.
MINIMUM QUALIFICATIONS FOR THIS POSITION INCLUDE THE FOLLOWING REQUIRED ENTRY LEVEL KNOWLEDGE, SKILLS, AND ABILITIES:
* Working knowledge of Microsoft Office.
* Ability to use a personal computer.
* Knowledge of administrative and office principles and practices.
* Ability to understand and apply applicable rules, regulations, policies, and procedures.
* Ability to plan, organize and coordinate work assignments.
* Ability to communicate effectively.
* Ability to establish and maintain effective working relationships with others.
* Ability to monitor Property Work Order requests and complete tasks in a timely manner.
BRIEF DESCRIPTION OF DUTIES:
Primary duty is to serve as an OPS Staff Assistant for the Department to include:
* Microsoft Word and Excel daily.
* Assisting with maintaining records for all Department owned property located throughout the state including maintaining property transfer forms, disposal and stolen item records and reconciling the property system input.
* Assisting with the accuracy and completeness of fixed assets by reconciling property system input, maintaining files of transfer, disposal and lost or stolen items, and written correspondence with property coordinators.
* Assisting with fleet coordination, paperwork, invoice audits and maintaining records for all fleet related activity.
* Assisting with leasing data entry, paperwork, invoicing and maintaining records.
* Assisting with general reporting needs, including Leasing, Property and Fleet.
* Assisting with insurance record keeping and processing insurance related documentation.
* Assisting facilities team with work order, cubicle reconfiguration and property surplus needs.
* Performing receptionist needs, including incoming calls, greeting customers, employee ID and parking setup and maintenance, setting up meetings and general file work, either in the main lobby area or within Sections of the Bureau of General Services.
