Job Overview:
OToole Transport are looking for a dedicated and detail-oriented Transport Administrator to support the smooth operation of our transport department. The successful candidate will be responsible for monitoring vehicle movements, updating customers and internal teams with timely information, managing delivery documentation, and ensuring real-time updates to the Transport Management System (TMS). The role requires strong communication skills, attention to detail, and the ability to work effectively under pressure.
Key Responsibilities:
Tracking & Monitoring:
* Track Trucks: Monitor the real-time location and progress of trucks using the tracking system to ensure deliveries are on schedule.
* Update Delays: Notify transport planners and customers immediately of any delays, issues, or deviations from the planned route or delivery schedule.
Customer Communication:
* Provide ETAs: Communicate accurate and up-to-date Estimated Time of Arrivals (ETAs) to customers to ensure they are informed of delivery progress.
* Send PODs: After each delivery, ensure the Proof of Delivery (POD) documents are sent to customers promptly.
* Temperature Reports: For temperature-sensitive deliveries, send the required temperature reports to customers, ensuring compliance with standards.
Transport Management System (TMS):
* Live Updates: Ensure that all relevant information (such as truck locations, delivery status, delays, etc.) is updated live in the Transport Management System.
* Document Management: Maintain accurate records of deliveries, delays, and customer communications in the TMS for future reference and reporting.
Administrative Support:
* Data Entry: Enter data accurately into systems, including delivery logs, PODs, and temperature monitoring records.
* Documentation: Assist with managing and filing delivery documentation, including invoices, PODs, and other relevant transport paperwork.
Ad-hoc Duties:
* Other Transport Support: Assist with other administrative and operational tasks as required by the Transport Manager or transport team, including scheduling and coordination of deliveries.
* Manage incoming phone calls with professionalism and courtesy, demonstrating excellent phone etiquette.
* Problem-Solving: Proactively address and resolve any operational issues that may arise during the transport process.
Skills and Qualifications:
* Strong Organizational Skills: Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
* Excellent Communication: Strong verbal and written communication skills to provide clear updates to customers and internal teams.
* Attention to Detail: Accuracy in tracking deliveries, entering data, and managing customer communications is essential.
* Experience with Transport Management Systems (TMS): Familiarity with TMS software or similar platforms is preferred.
* Customer-Focused: Professional and proactive when dealing with customer queries and concerns.
* Proficient in Microsoft Office Suite: Competency in Excel, Word, and Outlook to manage administrative tasks.
Job Type: Full-time
Pay: £24,000.00-£26,000.00 per year
