OVERALL SUMMARY In this role you will provide administrative support, following the passing of a client in respect of any funds managed by Close Brothers Asset Management (CBAM). Working closely with other colleagues, you will be a crucial member of the team, ensuring an efficient and sensitive handling during the process. RESPONSIBILITIES Undertake all stages of the Bereavement Administration process from initial notification, through system updates and document preparation, to the final processing of Deceased estates instructions, within agreed SLAs. Direct contact with clients and deceased representatives both over the phone and in written form, covering a number of different elements, to ensure an excellent service is provided at all times. Close liaison with other internal customers to ensure that an excellent service is provided, at all times. Support with the collation of departmental statistics on a daily and monthly basis, where appropriate. Ensure any areas of concern are raise in a timely manner to Line Manager Consistently demonstrate and act in line with our Business Principles (Client, Excellence, People & Integrity). Assist team manager with authorisations and workload management across the team. Assist team manager with ad-hoc queries and mandatory regulatory returns. Adherence to all departmental procedures and active involvement in reviewing processes, procedures and controls on an ongoing basis to ensure all processes are as efficient (and risk controlled) as possible. Assist the Service Management Team in the resolution of queries. Detailed involvement in project work to develop the workings of the department. Raise detailed risk events in a timely manner for issues where it has been determined that an action from the team is the root cause. Work on controls to prevent recurrence. Regulatory Responsibilities (Compliance/T&C) Ability to demonstrate an understanding of the regulatory framework relevant to the role, whilst practising effective risk management taking account of outcomes for clients. Understand, follow and demonstrate compliance with all relevant internal and external rules, regulations and procedures that apply to the conduct of the business. Follow principles and rules of the Financial Conduct Authority (FCA) and the internal requirements set out in the Compliance Manual, local and Group Compliance and Risk policies. WE WOULD LOVE TO HEAR FROM YOU IF YOU HAVE: Previous Financial Services experience, specifically in a Wealth Management business, would be a key advantage. Previous Bereavement Administration experience would be a key advantage. Keen attention to detail (system and non-system). Ability to work quickly and accurately within very tight deadlines. Good team player with the ability to work on own initiative. Flexible and available to work overtime during peak workload periods. Good communication skills (written and verbal).
