This is a Group role across the University Hospitals of Northamptonshire, requiring regular work at both Northampton General Hospital NHS Trust and Kettering General Hospital NHS Foundation Trust (University Hospitals of Northamptonshire).
The purpose of this group coordinator role is to support the Volunteer Services department through effective recruitment and retention of volunteers and coordination of voluntary programmes. This will be measured by the growth of the number of volunteers and volunteering hours across the group and the retention of existing volunteers.
The postholder will have previous leadership skills to coordinate the volunteers and ensure the service meets the Trust's demands. They will assist in the coordination of training for new and existing volunteers and support the Head of Volunteer Services with the implementation of volunteer initiatives, working with both internal and external stakeholders to promote and grow the service.
Key Responsibilities:
1. Oversee administrative tasks associated with the recruitment of new volunteers to ensure adherence to NHS guidelines.
2. Represent volunteer services across the University Hospitals of Northamptonshire by being a visible team member.
3. Communicate sensitively with volunteers and staff regarding voluntary activities in high-demand areas.
4. Liaise with patients, relatives, carers, and visitors with tact and discretion, especially when conveying sensitive information.
5. Ensure effective communication to clinical/non-clinical areas regarding tasks appropriate for volunteers.
6. Prepare outward-facing communications for the department promoting volunteer services.
7. Plan, organise, and implement voluntary activities that meet the complex operational demands of the organisation.
8. Coordinate the administration function within the office to ensure effective recruitment of volunteers.
9. Raise staff awareness across the Trust of the role and function of volunteers.
10. Identify volunteer initiatives that enhance patient experience or staff wellbeing.
11. Oversee recruitment workflow and ensure advertising encourages diversity and inclusivity.
12. Support volunteers, particularly those lacking self-confidence or experience in a hospital setting.
13. Develop good relationships with existing volunteers to ensure successful implementation of the volunteering strategy.
14. Responsible for a caseload of over 100 volunteers, ensuring accurate and up-to-date information in various databases.
15. Produce monthly reports on volunteer utilisation and retention rates.
16. Co-ordinate/deliver training for volunteers and ensure compliance with NHS standards.
