Allstaff Professional Services are seeking an experienced Personal Assistant for a client based in the outskirts of Paisley. Due to the location of the client, you must be able to drive and have a car, as there are no public transport links close by. The role is temporary with a possibility of going permanent.
This role needs a suitable candidate who can carry out the following duties and responsibilities:
* Be proactive in pre-empting the needs of the CEO and must be able to prioritise their own workload to ensure effectiveness and efficiency in delivering objectives.
* Take accurate minutes and produce these in a timely manner.
* Receive complex, sensitive information and deal with confidential and sensitive material.
* Undertake and manage specific projects as directed by the CEO.
* Undertake background information research as required and summarise data.
* Diary management for the CEO ensuring deadlines are achieved. Make decisions on behalf of the CEO with regards to conflicting demands for appointments.
* Receive incoming and initiate outgoing telephone calls, resolve difficulties where appropriate and advise on the appropriate channels of communication.
* In the absence of the CEO, manage emails by replying, providing information, and taking appropriate action.
* Draft correspondence for approval, ensuring that communications and reports are accurate and of a high quality.
* Arrange, when required, registration, organise and manage travel and accommodation arrangements, ensuring complete travel package to include itinerary, tickets, timetables and maps/directions.
* Proactively update the corporate sections of the organisation’s website.
* Maintain details of the organisation’s social media accounts and post corporate posts to the organisation’s social media accounts.
Board/Governance Committees
* Provide a comprehensive secretariat and support service to the Board of Trustees to ensure that the organisation’s governance responsibilities are met.
* Co-ordinate and facilitate meetings, including:
o The production of draft agendas for CEO and Chairman’s approval.
o Compile and update action plans for the Board and Governance Committees and ensure that all items are followed up timeously. Monitor progress as required.
o Set dates for all Board and Governance Committee meetings, one year in advance, taking into account various Governance Committee inter-relationships, responsibilities, and corporate planning processes.
o Act as Company Secretary for Organisation and Trading companies including the organisation of AGMs and filing documents with Companies House and OSCR.
o Assist with Board recruitment in conjunction with the CEO and Chairman.
o Ensure appropriate advertising.
o Coordination of shortlisting and interviews.
The office hours are Monday to Friday 9 am to 5 pm with a 30-minute lunch break.
