Apex Talent Recruitment is a leading recruitment firm specialising in the real estate industry. We are currently seeking a highly organised and detail-oriented Executive PA to join our client's team. As an Executive PA, you will provide comprehensive support to the Chief Executive and play a crucial role in ensuring the smooth operation of his daily business activities.
Responsibilities
* Managing complex calendars, scheduling meetings, and coordinating travel arrangements
* Actively participating in meetings, taking detailed minutes, and following up on action items
* Handling sensitive and confidential information with the utmost professionalism and discretion
* Conducting research and preparing reports, presentations, and correspondence
* Screening and directing phone calls and emails, responding promptly and efficiently
* Collaborating with cross-functional teams, ensuring effective communication and timely follow-up
* Assisting in the preparation of board meeting documentation
* Managing and organising files, documents, and records
* Coordinating special projects and events, both internally and externally
* Providing general administrative support to the executive team as needed
Requirements
* A minimum of 3 years of experience as an Executive PA or in a similar role
* Strong organisational and multitasking skills, with the ability to prioritise effectively
* Excellent written and verbal communication skills, with a keen eye for detail
* Proficient in Microsoft Office Suite and other relevant software
* Proven ability to work well under pressure and meet tight deadlines
* Exceptional problem-solving skills and a proactive approach to work
* Strong interpersonal skills and the ability to build and maintain relationships
* Demonstrated ability to maintain confidentiality and handle sensitive information with discretion
* Knowledge of the real estate industry not required, as long as you have an inquisitive mind
* Manage a Junior Business Assistant
* Able to work from the office full time Monday-Friday
* A career-oriented individual
* Can demonstrate commitment and being readily available for the CEO as required, including probable out of hours calls and work (inclusive of weekends)
* Highly presentable and polished
* Bachelor's degree, but not mandatory
