As our newly appointed Operations Manager you will report to the Managing Director on a day to day basis. You will lead the day to day operations of PM Property Lawyers ensuring adherence to the Standard Operations Procedure. You will co-ordinate all Proclaim development and change requests for Conveyancing, working with Compliance and all branch firms to ensure the system meets everyone’s needs. Part of you role will also be ensuring that appropriate MI and KPIS are supplied to the Managing Director, the Managers and team leaders and ensure that the KPIS are acted upon in a timely manner – to include QR and Audit in relation to the same. What will you be doing day to day? Be responsible for undertaking ongoing reviews to identify process improvement and value for money in operational dealings Co-ordinate all Proclaim development and change requests throughout PMPL by a change management process ensuring appropriateness and priority of each change in conjunction with the Managing Director Report to the teams and to the Managing Director any areas where from the MI the KPIs and Processes are not being met and adhered to and assist in Staff PDPs and Performance Enhancement / Support Plans as appropriate. Apply strong strategic and leadership skills to steer the Firm to operate in the most profitable manner. Represent the firm at external events to strengthen the company profile Be an individual with the ability to ensure the Firm is constantly moving towards fulfilling its objectives and does not diverge from its strategic guidelines. Consider, review and report to the Board results of audits, presenting areas for improvement along with proposals agreed with Managers for change and improvement, Provide detailed reports to the Board as to what areas work exceptionally well in the Firm, as demonstrated by audit results. Support the Monthly Management Meetings and encourage a positive all round business-like approach within the Company so as to address immediate issues in order to maintain “business as usual” in an efficient manner. Assist and support the Managing Director with a monthly Firm wide gathering to applaud excellence, share positive news and invite a unified approach to working across the Firm. Produce and agree with the Managing Director comprehensive, standard job descriptions and specifications for each role within the Firm, defining responsibilities and agreeing levels of authority for each role within the Firm. Demonstrate a strong desire to work collaboratively with the Shared Services team for the benefit of the Firm. Identify areas for improvement, consider where efficiencies can be made within the Firm and produce plans for implementation, seeing them through to successful conclusion with support from Shared Services and communicating the plans effectively with the Managers, team and the Board alike. Support and encourage the Managers to drive team performance effectively, through additional resource, training or development. Support and drive a strong, ethical culture within the Firm in accordance with current legislation and the Firm’s commitment to a healthy workforce. You may be required to perform any other duties and to work in any other areas as requested by the Company if necessary, which may include other offices and those of clients Principal Tasks Ensure Firm policies, protocols and working processes are communicated from the Board down into the Firm and that they are applied at all times. Work with the Managing Director to develop policies, protocols and standard operating procedures across the Firm. Maintain open lines of communication and develop strong trusting relationships with shareholders, business partners and all members of the Firm. Alongside the Managing Director oversee the Firm’s financial performance against annual targets, address variances with the Board and develop contingencies. Analyse problematic situations and occurrences and provide solutions to ensure the firm’s endurance and growth. Produce monthly statistics, reports and analysis for the benefit of the Board in relation to Firm performance, strategy and areas for growth and development. Support and encourage management training to enhance and develop the Manager skill sets, increase understanding of external market changes that will affect the Firm’s ability to exceed targets. Drive a unified approach to work for the benefit of the firm through, with the support of the Board, and within budget. Have demonstrable experience driving the success of a business through operational excellence and strong performance. Demonstrate a passion to see the business grow, through effective use of MI, technological efficiencies and system development. Have the ability to develop, implement and see through strategic changes and efficiencies. Benefit from having a background working in an Operations management role within the legal industry. Be a strong leader with excellent communication, interpersonal and presentation skills. Have a very positive attitude and a passion to get things done, through delegation and allocation of available resources. Be able to develop and maintain strong working relationships with external suppliers and service providers. Have the ability to develop, implement and see through strategic changes and efficiencies. Appreciate the necessity to apply management best practices. Have outstanding analytical and problem-solving abilities. Be a strong leader with excellent communication, interpersonal and presentation skills. Be able to demonstrate a track record in motivating and encouraging others to reach their targets whilst supporting their teams to excel. Be able to develop and maintain strong working relationships with external suppliers of work, service providers and other law firms. Represent the firm in a professional, positive manner at all times. Have an understanding and a desire to drive the public perception of the Firm in a positive direction for the benefit of sourcing new work, service providers and attracting high quality candidates for the PM Academy, through PR, marketing and social media.
