To provide a front of house reception service for visitors, staff and service users within the clinic, ensuring that all clinics and patient case-notes are maintained to a high standard in accordance with relevant policies.
Main duties of the job
* To provide a front of house reception service to the office, providing directions and information to all visitors, staff and service users of the clinic as requested.
* Reception duties to include receiving and booking in of service users for clinics, booking follow-up appointments for clinics, and sending out appointment reminders.
* Answering the telephone and following up any queries generated by telephone calls in a friendly and courteous manner.
* To advise staff within the unit of any visitors.
* Creating new case notes, upkeep, and filing of case notes/medical reports to the standard required by the Trust Records Management.
* Cancel clinics when requested by the Line Manager/Clinicians. Ensure service users are given a new appointment and follow up the cancellation with a letter and, where appropriate, telephone the service user.
* Action electronic systems activity, i.e., data quality monitoring as directed by the line manager.
* Input electronic clinical documentation/notes or scanning of notes.
* Access and utilise electronic data transfer (EDT).
* Manage and enter referrals and outpatient appointments onto the computerised Records System and be a point of contact for queries relating to the patient.
* Comply with health and safety regulations and evacuate the patient area where necessary.
* The post holder will be required to follow prescribed work practices and routines.

Person specification
Education/Qualifications
* NVQ 2 or equivalent relevant experience.
Experience
* Office Experience.
* Demonstrable Reception / Customer Service experience.
* Previous experience with clients/customers both face to face and over the phone.
* Previous experience of working within a healthcare setting.
Knowledge
* Good computer skills; use of Microsoft Office programmes including Outlook.
* Knowledge of Data Protection Act.
* A basic understanding of Mental Health Issues.

What happens after your application has been received?

What happens if I am offered the position after interview?
The hiring manager will make contact with you to verbally offer you the position. The hiring manager will then inform Recruitment of the decision and provide relevant paperwork. You will be sent a formal conditional offer via email.
