Position Purpose:
Responsible for managing bid management projects. Working closely with project sponsors, cross-functional teams, and programme managers to plan and develop scope, deliverables, required resources, work plan, and timing for new initiatives to ensure a clear project plan is developed.
Co-ordinate, administer, manage, and/or lead commercial bid programs as required. Develop and maintain a database of past proposals, bids, and relevant documentation to streamline future bid processes. Analyse, evaluate, and overcome program risks, and produce program reports for management and stakeholders.
Support the ongoing development and management of bid management PMO tracker(s) and provide where necessary regular insight to the business on any progress. Support development of program assessment protocols for evaluation of completed programs in line with a continuous improvement approach.
Key Job Activities:
* Co-ordinate, administer, manage, and/or lead commercial and bid programs as required, including but not limited to scheduling and assigning tasks, deadlines, maintaining key milestones, and documentation for designated projects.
* Conduct and support reviews and feedback sessions with a wide group of stakeholders across the business to provide recommendations for improvements.
* Maintain commercial and bid management PMO tracker(s) as required ensuring up-to-date accuracy.
* Monitor project progress and ensure that projects are completed on time, public procurement requirements are met, and to the required quality standards.
* Collaborate with internal departments to assist, support, and expedite the completion of key initiatives in line with bid timelines.
* Support with the continual development of reporting to key stakeholders/business leaders as required to ensure visibility of ongoing bids.
* Coordinate all project-related activities, including meetings, document control, and communication with stakeholders.
* Develop and maintain project documentation, including project plans, schedules, budgets, and status reports.
* Identify project risks and develop mitigation strategies to address them.
* Ensure that project changes are documented, approved, and communicated to stakeholders.
* Coordinate project reviews and ensure that project deliverables are completed and submitted on time.
* Support project administration, including collating required documents and information for commencement of new projects.
* Coordinate technical content and overall coordination of projects within the organization and with external stakeholders.
* Participate in regular meetings to understand current and future project work requirements.
To Succeed in this Role:
* You’ll be a great communicator and have skills both verbally and written.
* An understanding of IT systems (like Microsoft Office) is essential to your success.
* GCSE Maths and English grades A to C (or equivalent).
* A can-do attitude, great attention to detail, and the ability to build relationships with key members of the business are all critical skills for you to have.

* You’ll have experience presenting ideas and information in a clear, concise, organized way, and your ability to listen to others and respond to ideas and questions will be second nature to you.
