As Management Assistant UK you'll be responsible for providing administrative support to the Senior Management team across the UK, whilst also supporting the Coventry site with general administration. We are a relatively new Bakery, based in Lyons Park, Coventry, consisting a small friendly and supportive team with ambitious growth plans for our future. We are looking for someone who can bring energy and professionalism to support us in achieving our objectives. General Duties: Organise management meetings, sending invitations, booking meeting rooms, organising catering, preparing agendas, taking and circulation of minutes. Producing letters, documents, minute taking, posters as required to support site management. Organise travel arrangements bookings, ESTAs, visas, hotels, flights, taxi’s, car hire, trains & other transport requirements for site management as required. In Coventry be the onsite receptionist to meet and greet visitors. Produce reports, bulletins and notices as required e.g. daily, weekly, monthly, quarterly Audit preparation – assist collating and preparing relevant documentation Post Management - Collecting, opening, date stamping and distribution of inbound post along with outbound post management. Stationary - Ensure there are sufficient stationary supplies within budget, having an effective process to minimise both the ordering process within a weekly time frame ensuring supplies are both accurately & readily available.Implement a system that ensures compliance Co-ordinate social events, within budget as required Organise buffets and beverages when required and ensure sufficient supplies are always available. To undertake any other duties as may reasonably be required appropriate to this role. Work environment involves partial office share with no natural light. Light physical effort is required such as walking through the Bakery to access the Martin Brower building for daily post collection, climbing and descending multiple stairwells and utilising fine dexterity.
