Rapidly growing PE & VC firm are looking for a discreet and hardworking Executive Assistant at the top of their game, to join the team and look after the Co-Founder and CEO of the Company. This is a brilliant opportunity to join a dynamic and supportive company.
The essential requirements for the role:
* Experience working at Senior Executive Assistant level
* Experience working with and for UHNW individuals
* Experience coordinating travel logistics (both private and commercial)
* Fluent and highly articulate in English
* Exceptional project management, coordination skills in time constraint environment
* High stress resilience
* High discretion
The ideal candidate:
* Experience working as part of a team, providing support for a principal
* Fluent in French and in other languages
Main responsibilities include:
* Working across different time zones - 24/7 support for a CEO with exceptionally busy travel and events schedule. Additional support available from a travel agent and from assistants in our Los Angeles and Paris offices.
* Extensive travel coordination and logistics for both personal and business travel
* Luxury travel coordination (private charters, boats, cars)
* Booking breakfast, lunch and dinner meetings
* Basic diary management
* Working as part of a team, with the expectations of clear communication with the wider team, including senior stakeholders and events logistics teams
* Supplier management, including but not limited to charter brokers, hotel contacts, travel agents
CEO specific points:
* He is discreet and understated, not a flashy CEO in any way, but has high standards and expectations.
* Personal interaction will be at a minimum – this currently isn’t a role where there is a lot of facetime
* Communication Style – mainly over text, some tasks might be emailed to you, but few phone calls or in person meetings. Last minute nature – this isn’t currently a role where you can plan travel for the next few weeks, it is last-minute with sometimes added complications of needing to schedule around meetings or busy conferences. Proactiveness is encouraged but will always be limited due to changing priorities.
Additional information:
* Travel Agency - 24/7 WhatsApp support from a global travel agent, able to help with almost all travel. However the responsibility to ensure efficient and smooth experience lies with the EA.
* Travel Charters - strong relationships with various charter brokers, who are all aware of the requirements the CEO has when travelling privately. However, the process needs to be managed by an EA and ensured that timelines and feedback is always communicated.
* Holiday Cover Process – holiday cover is provided
* Flexibility with Working From Home – flexible due to hours worked, ideally three days a week in the London office depending on the CEO’s schedule.
* Essential for the EA to be present in the London office when CEO is in London (aside from holidays).
