Department: Hector’s House
Contract: Permanent, Part-Time
Hours: 19.5 hours per week (or 2.5 days, flexible)
Location: Home-based, with occasional travel to our registered office in Berkhamsted and in the wider Herts/Bucks area for events and meetings
Reports to: Fundraising Officer and Chairperson
Salary: £12,675.00 (or £12.50 per hour)

Purpose of the Role: The Fundraising Assistant will become an integral part of the Hector’s House team, being the first point of contact for many of our Trusts, fundraisers, community, corporate supporters and volunteers. The main responsibilities for this role will be to process donations, attend and organise occasional fundraising events, help to set up and maintain the database and deliver high levels of supporter care and assist in supporting volunteers for the charity.
Main Responsibilities/Accountabilities:
Fundraising Growth
* Help the Fundraising Officer to apply for grants, find new opportunities and maintain these relationships.
* Undertake community outreach – speaking to local businesses and clubs to offer our Charity of the Year services.
* Work with the Fundraising Officer to develop a fundraising pack for all supporters with all key fundraising information.
* Help to start up an individual giving scheme to ensure steady income for the charity.
Administration and Support
* Provide support to the Hector’s House team on a range of administrative tasks including dealing with fundraising inquiries (postal, telephone, email, social media), opening and sorting post and managing collection boxes.
* Help to compile monthly reports of fundraising activity for staff and Trustees.
* Support the Fundraising Officer to explore new opportunities and help to organise specific events.
* Work with the Fundraising Officer to ensure tasks are correctly prioritised and deadlines are met.
Database and Donation Processing
* Help to set up a new database to record all fundraising activity.
* Process one-off and regular donations from both online and offline sources, ensuring procedures are followed and information is recorded correctly onto the database.
* Ensure the database is kept accurate and up-to-date by recording changes including mailing preferences, address details and financial information.
* Update mailing lists and record bulk communications (e.g. e-newsletters) on the database.
Finance
* Input monthly and ad-hoc gifts from the bank statement.
* Count cash donations and banking income.
* Undertake regular bank visits to cash cheques, coins and ensure our records are up to date.
* Assist the trustees with Gift Aid record keeping and reports and ensuring we are submitting these in a timely manner.
Supporter Care
* Thank supporters and organisations in a timely, authentic and courteous manner, and record these communications on the database.
* Work to build relationships with donors in order to provide a high standard of customer care.
* Keep in touch with fundraisers, such as marathon runners or corporate businesses, ensuring they feel well supported and appreciated.
* Write to regular donors who have reached an anniversary or stopped their donations.
* Work with our Social Media Assistant on maintaining a regular ‘Thank you Thursday’ slot for our incredible supporters; sourcing images, amounts raised and a quote from the fundraisers.
Special Working Conditions
* Working from home with occasional travel across Home Counties.
* Evening and weekend work may be required for presentation deliveries and community events.
* As the nature of this role will involve becoming an advocate for mental health and suicide prevention – supervision and team support will be offered to ensure the well-being of the successful candidate.

* Full UK Driver’s Licence with the ability to travel to regular meetings and events across Bucks and Herts (E)
* Experience of using Microsoft Office 365 – Outlook/Word/Excel/Teams/Sharepoint (E)
* Excellent attention to detail (E)
* Proven written, grammar and creative skills (E)
* Driven and passionate about mental health and suicide prevention (E)
* Proactive in task management and prioritisation (E)
* Flexible approach to working as occasional evening and weekend work is expected (E)
* Excellent communication skills (E)
* A strong communicator with the ability to inspire, influence, and engage volunteers and donors while building and maintaining meaningful, long-term relationships (E)
* Experience in fundraising, sales, or marketing (D)
* Knowledge of Canva or similar graphics packages (D)
