About the role Due to an internal promotion, an opportunity has become available for an experienced Team Assistant to join a highly established and respected single-family office. As a Team Assistant, you will provide all-round support to the team in an efficient and effective manner. Our team comprises of Client Advisors, Legal Advisors, Tax Advisors and business colleagues. You will provide daily operational and receptionist support for the London office, including the management of the “client experience” when family members contact or visit the office. Based in Central London, you will join a small and welcoming team, who all go above and beyond to ensure that the family’s life runs smoothly and their best interests are maintained at all times. Responsibilities You will be responsible for a variety of activities: Schedule meetings, including preparing agendas, documents, minute-taking, and action follow-up. Perform receptionist responsibilities by welcoming family members and other visitors and managing correspondence. Manage office calls, diaries for managers, and general office tasks. Maintain spreadsheets, databases, and weekly movement/visitors list. Distribute mail and parcels to/from the London office. Support for the tax team and the Client Advisory Assistants with client meetings and cover as needed. Type, format, and prepare internal/external communications (Excel, PowerPoint). Coordinate client communications, mail merges, and event planning. Manage business/travel expenses and coordinate travel arrangements for managers. Track time off/holidays for management and assist with course booking. Liaise with clients and support project work as directed by Client Advisors. Perform ad hoc duties as required. You will make an impact by increasing the productivity of clients, enhance the organizational efficiency, contribute to positive client relationships and have a positive impact on the working environment. Requirements What we are looking for: Previous experience in a family office, financial services, or corporate environment (banking, tax, legal). Fluent in written and spoken English with excellent problem-solving and numerical skills. Strong attention to detail and advanced skills in PowerPoint, Excel, and Word. Self-starter with the ability to plan and manage work independently, using common sense in ambiguous situations. Highly organized, capable of managing and tracking short- and long-term deadlines and tasks. Excellent interpersonal and teamwork skills, with a strong client focus and service orientation. Strong influencing skills to ensure timely and high-quality deliverables from others.
