Milltown Partners is a global advisory firm working with influential organisations and individuals on the communications and public policy challenges that define their reputations. We're looking for a detail-oriented Bookkeeper to join our growing Finance Team in London. Reporting to a member of the finance team, you'll play a key role in continuing to scale our growing business. You'll oversee our Accounts Assistant and provide support to our UK and US-based Finance Managers, ensuring the smooth execution of our month-end processes. For the right person, we can offer flexible office hours and will consider both full time and part time applicants.
Responsibilities
1. Leverage extensive experience to inform and implement the most efficient processes within our newly implemented NetSuite system, contributing to its ongoing optimisation.
2. Support UK and US Finance Managers with month-end processes, posting monthly journals and checking them for accuracy.
3. Perform monthly balance sheet reconciliations across the Milltown Partners Group, including payroll and VAT control accounts.
4. Assisting with month-end and year-end closing processes, including preparing reports and providing information to the auditors.
5. Oversee our Accounts Assistant, supporting on:
1. Accounts payable: reviewing supplier invoices to ensure approval workflows have been followed and they have been accurately posted to Netsuite.
2. Employee expense & credit card management: ensuring expenses have been processed through the necessary workflow approvals and have been accurately translated into NetSuite.
3. Bank reconciliations: Reviewing bank reconciliations prepared by the Accounts Assistant and ensuring payments have been mapped accurately in the system.
4. Inbox management: managing shared inboxes and responding to queries.
5. Supplier Management: reviewing & approving supplier payments in accordance with payment terms and ensuring we have signed supplier agreements/work orders with appropriate terms where necessary.
6. Reconcile billable expenses, providing accurate information to the Billing and Contracts Manager for timely billing of disbursements and third-party costs.
7. Reviewing the general ledger to ensure expenses have been allocated to the correct General Ledger codes, departments and locations for budget holders.
8. Monitoring customer payments and chasing overdue invoices on a timely basis.
9. Prepare and submit VAT returns to HMRC in the UK, ensuring compliance with regulations.
10. Liaise with our Accountants in Brussels regarding Belgium VAT matters.
11. Submit payroll journals passed over from HR Manager (to be appointed).
12. Maintain paperless records for the finance team.
13. Provide daily ad-hoc support to UK & US Finance Managers.
14. Support ad-hoc finance-related projects or cover within the Finance team, including audits of employee files (Google Drive), completion of ONS surveys, and data.
Must-have skills and experiences
* 5+ years administrative experience in a similar role.
* You will have used an ERP before; experience of Netsuite is a bonus.
* Meticulous attention to detail, excellent command of written and verbal English language, and numeracy skills.
* Excellent organisational and time management skills; ability to stay one step ahead, anticipating issues and providing solutions.
* Ability to operate with professionalism and discretion, handling confidential and sensitive information with care.
* Commitment to contributing to a supportive and inclusive culture.
* Successful applicants will need to have the right to work in the UK; while it is possible for us to sponsor work permits, this may not be the case in all circumstances.
Desirable skills to have
* Experience working in a transatlantic or global business.
* Experience working in an SME.
* French/Dutch speaking (not a necessity).
