Practice Administrator
Location: Leicester, UK
Salary Range: £26,000 - £30,000 per annum
Working Hours: Full-time (Monday - Friday)
Job Overview:
We are looking for a highly organised and proactive Practice Administrator to join our clients' accountancy practice. This role is critical in managing client onboarding, supporting administrative functions, and ensuring smooth day-to-day operations. The ideal candidate will have strong attention to detail, excellent communication skills, and the ability to work efficiently in a professional services environment.
Key Responsibilities:
Client Onboarding & Administration:
1. Manage the end-to-end onboarding process for new clients, ensuring all necessary documentation is collected and processed efficiently.
2. Schedule and coordinate client meetings, ensuring all stakeholders are informed and prepared.
3. Set up and maintain client profiles in practice management and accounting software (e.g., Xero, Dext) with accurate data entry.
4. Communicate with clients to guide them through onboarding requirements and address any questions.
5. Maintain a log of client communications and follow-ups.
Compliance & Anti-Money Laundering (AML) Support (Desirable but Not Essential):
1. Assist with AML checks and risk assessments for new clients where required.
2. Support in maintaining AML records to ensure compliance with regulatory requirements.
3. Report any high-risk clients to senior management and assist in enhanced due diligence processes, if applicable.
4. Prior knowledge of AML and compliance is desirable but not essential, as training will be provided.
Client Liaison & Communication:
1. Act as the first point of contact for new and existing clients, ensuring a professional and friendly client experience.
2. Handle telephone calls, email enquiries, and reception duties, providing high-quality customer service.
3. Liaise with internal teams to ensure a seamless transition from onboarding to service delivery.
Software & Systems Management:
1. Set up clients on relevant accounting and bookkeeping software (e.g., Xero, Dext, Practice Management Software).
2. Assist in maintaining and optimising internal workflows and integrations within practice management systems.
3. Support with document filing and record-keeping using cloud-based systems.
General Administration & Office Support:
1. Organise and maintain office records, databases, and filing systems.
2. Arrange meetings, book and prepare meeting rooms, and provide hospitality as needed.
3. Type and prepare letters, forms, and other business correspondence as required.
4. Track client deadlines, ensuring timely submission of documents and regulatory filings.
5. Support the wider team with ad-hoc administrative tasks.
Qualifications & Experience:
1. Previous experience in an administrative role within an accountancy practice or professional services environment (e.g., legal, financial services).
2. Proficiency in Xero, Dext, and other practice management/accounting software (training can be provided).
3. Excellent organisational and time management skills, with the ability to manage multiple tasks simultaneously.
4. Strong communication and interpersonal skills, with a client-focused approach.
5. A strong understanding of AML and compliance is desirable but not essential, as training will be provided.
6. Ability to work independently and collaboratively within a team.
Salary & Benefits:
1. Salary: £26,000 - £30,000 per annum (depending on experience).
