Main purpose of the role & responsibilities in the business:
As Office Co-ordinator in Kainos, you will have shared responsibility for overseeing the operational functions which keep the team delivering, whilst providing a welcoming presence in the office. This includes facilities management, reception duties, high quality administrative services and processes that support the core business at Kainos. The coordinator team deliver a shared service across our offices globally.
This role is part-time, 3 days per week in the office (Tues/Wed/Thurs).
Your key responsibilities will include:
1. Onsite office support
2. Front of House reception services, including greeting visitors
3. Supporting the wider Facilities team globally
4. Supporting & organising onsite and offsite meetings & events to include ordering catering and providing hospitality for events held onsite
5. Liaising with colleagues at all levels
6. Raising purchase orders, credit cards etc. in line with company processes
7. Supporting continuous improvement initiatives across the team to develop best in class service
8. Participate in Facilities projects across the wider in-house team
9. Participate in knowledge sharing activities across the team and wider office where appropriate
10. Act as an internal representative of Kainos and our Facilities team, being an ambassador for the brand both internally and externally.
11. Adherence to company standards, processes and Departmental SLAs (Service Level Agreements)
12. Maintaining and ordering office stocks & supplies
13. Liaison with housekeeping team
14. Building maintenance PPM (Planned Preventative Maintenance) & reactive
15. Health & Safety compliance including Fire Warden & First Aider
16. Adherence to physical security policy and monitoring and reporting on access control
17. Support onboarding of new colleagues to Kainos
18. Building relationships with landlords, contractors, and service providers
19. Courier & postal services
20. Working closely with onsite IT support
21. Supplier relationship management and assisting in procurement of goods and services
Please be aware that this role will include a physical element which will entail putting away deliveries, stocking stationery and supply cupboards etc. This role also occasionally calls for flexibility of start and finish times to cover internal office moves, maintenance works or event preparation.
Minimum (Essential) requirements
22. Ability to carry out responsibilities in accordance with company policies, procedures and processes;
23. Demonstrate commercial awareness and understanding of the project and business dynamics;
24. Effective personal time management and planning skills to deliver a high level of accuracy and attention to detail in tight timeframes/targets;
25. Ability to work efficiently, make sensible decisions under pressure and prioritise your workload in a fast-paced environment;
26. A self-starter who can work on their own initiatives with minimal supervision;
27. Effective verbal and written communication skills with both staff and external stakeholders;
28. We all work in teams here in Kainos – a proven ability of strong team skills, including taking direction from others, is crucial;
29. Minimum of 1-year experience in a relevant working environment with an approachable, mature, collaborative style;
30. Experience with Office 365 Suite or equivalent.
