Job Summary
We are seeking a highly organised and proactive Personal Assistant and Team Assistant to provide comprehensive administrative support to the Company Director and the wider team. This role involves a diverse range of responsibilities, including diary management, travel arrangements, financial assistance, HR support, property maintenance, and team event planning.
Key Responsibilities
Executive Support
* Manage the Company Director's busy schedule, including diary management and appointment scheduling.
* Provide administrative support to Company Director where applicable.
* Screen calls, respond to inquiries, and handle correspondence on behalf of the Company Director.
* Maintain a well-organised filing system for important documents and correspondence.
* Support management of contracts: eg insurances, leases, supplier contracts, Asset registers
* Ensuring key reports across the organisation are available to Director, and Mng Team in timely manner
Financial Assistance
* Assist the Finance Manager with various tasks, such as data entry, invoice processing and expense claims.
* Support Finance Manager with ordering all equipment, supplies and ad hoc items for the Services we support
HR Support
* Assist with HR-related tasks, including onboarding new employees, and other administrative tasks as required.
* Assist with recruitment processes, including scheduling interviews and conducting reference checks.
Office Management
* Place and manage orders for all business stationery and supplies.
* Organise team events, including social gatherings, team-building activities, and company celebrations.
* Oversee the property maintenance system, including scheduling repairs and maintenance tasks.
* Manage office facilities and ensure a clean and organised workspace.
Requirements
* Proven experience as a Personal Assistant or similar role.
* Excellent organisational and time management skills.
* Strong attention to detail and accuracy.
* Excellent verbal and written communication skills.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
* Ability to work independently and as part of a team.
* Flexibility and adaptability to changing priorities.
* Strong problem-solving and decision-making skills.
