An exciting opportunity has arisen to join our Workforce Management Team as a Real Time Resource Planning Analyst. The position will take a
vital role in the day-to-day flow of work across the service ensuring the right work is allocated to the right people in line with the Service priorities supporting the forecasts and plans for the NHS Retirement Services to be achieved.

Main duties of the job
A key challenge over the coming years in NHS Retirement Services is ensuring that plans and modelling is aligned to the NHSBA’s digital agenda, encompasses all legislative changes and that the opportunities this is expected to provide are fully understood and maximised so that plans reflect the evolving nature of our services.
Working with the existing Forecasting, Planning and Workflow Managers you will be responsible for ensuring the seamless running of the day-today allocation of work, ensuring the right work is allocated to the right people at the right time to meet the business requirements maximising
available resource.
You will be responsible for providing required reports to Operational areas and Forecasting, Planning and Workflow Managers timely ensuring
accuracy. Providing progress reporting for operations in real time to aid proactive management and performing analysis to aid service improvements helping the NHS Retirement Services to ensure the best service for our customers.
Experience of working in a similar role within Forecasting and Planning is desirable but not essential, as well as experience with a Managed
Service environment. The post-holder will be naturally curious looking for improvements and new opportunities around both processes and
technology but balancing the need to achieve tight deadlines

Detailed job description and main responsibilities
1. Encourage the effective use of the Workforce Management Tool across all suitable levels within the operation.
2. Provide accurate daily reporting on performance.
3. Real-time monitoring of the Work Manager system ensuring resource is optimised. To include queue and adherence monitoring.
4. Intraday monitoring of average staff productivity against schedules to maximise resource efficiency.
5. Ensuring business SLAs are at the forefront of any business/strategy decisions as well as being able to justify these decisions.
6. Act as the ‘voice of the customer’ – ensuring the business is kept informed of any issues affecting priority work levels.
7. Review the variations in the clearance against capacity expected, mitigating where possible.
8. Allocate work to staff based upon skill levels and availability, ensuring sufficient workloads is provided for the duration of their working day.
9. Analyse data to maximise resource available across all areas, taking into consideration skill sets.
10. Incident management: log any incidents, informing the wider business of any issues where appropriate.
11. Administering short- and long-term resource planning to accurately reflect business need.
12. Escalate concerns regarding resource levels and workloads.
13. Compiling and developing monthly/weekly/daily performance reports.
14. Intraday monitoring of resource and work volumes to maximise effectiveness across the teams.
15. Provide daily summary performance reports to Management Team.
16. Support Ad-hoc reporting and projects within business delivery timelines.
17. Update WFM system to improve accuracy to provide accurate MI for analysis.
18. Participate and contribute to Daily Capacity Planning (DCP’s).
19. Complete any miscellaneous tasks/projects that may arise that are beneficial to the organisation and your ongoing personal development.

1. Must have previous experience working in a real-time function in a multi-skilled environment
2. Experience of a Work Force Planning Tool
3. Experience of working in a Customer focus environment
4. Intermediate MS Excel, Word and PowerPoint user Understanding of Statistics & Systems
