Role Overview
Due to the continued success and growth of our Asset Management Division, we currently have an opportunity for a Project Coordinator. The Project Coordinator will be responsible for organising and controlling project activities under the direction of the Project Manager.
What you'll do
The following reflect the main tasks associated with the position and are not intended to be exclusive or exhaustive:
* Producing Site Health & Safety Files for projects within current frameworks.
* Pursuing supply chain partners for Risk Assessments & Method Statements for review by the Project Manager. Ensuring the HSEQ files are placed on site before works commence, then collating/filing information from them once projects are complete on Docuware/Pulse.
* Attending weekly meetings with the Project Manager to update notes for Framework Contracts.
* Creating and maintaining a drawing register system for each project, ensuring all supply chain partners and relevant stakeholders have up-to-date information at all times. Ensure a printed copy of all up-to-date drawings are kept in the office for reference.
* Creating and maintaining an RFI Schedule for each project. Issuing this to the Project Team and QS for review weekly.
* Keeping all target dates set by the Project Manager in mind throughout the project and advising of any delays.
* Keeping the Project Manager informed of project status and any issues which may impact client relations.
* Daily use of H&J Martin’s bespoke computer system – “Concept”, creating tasks, adding financials, issuing work sheets etc., and ensuring all job-specific records are kept up to date.
* Filing all relevant job documentation on “Docuware” (online filing system).
* Creating O&M Manuals for completed works – chasing contractors for information and ensuring these manuals are delivered to the client within timescale.
* Any additional administrative tasks which may be required, including minute taking.
What you'll bring
Essential:
* Strong IT skills with experience using Microsoft packages.
* Excellent communication skills are paramount in this role. The candidate must be comfortable being the first line of contact for H&J Martin and able to communicate easily & effectively on all levels with team members, clients, and suppliers alike via any means of communication necessary.
* Ability to work on one’s own initiative and problem solve with little or no supervision if necessary.
* Excellent time management skills and ability to multitask and work well to deadlines.
* Willingness to take on additional responsibilities as and when necessary to aid with project deadlines.
