We are recruiting for an Accounts Assistant to join our Fire and Security team based in Halesowen. This is a maternity cover role for an initial period of 6 months, with the possibility of extension. The Accounts Assistant will play a crucial role in managing the company’s accounts payable process, ensuring accurate and efficient handling of purchase invoices, supplier communications, and administrative tasks.
Key Responsibilities:
Responsibilities include but are not limited to:
Purchase Invoice Processing:
* Match delivery notes to purchase invoices.
* Verify prices from orders against invoices.
* Assign job numbers and nominal codes to invoices.
* Enter purchase invoices into the system, ensuring correct supplier, costs, and delivery details.
Supplier Communication:
* Resolve purchase invoice queries with suppliers via phone and email.
* Cross-reference supplier statements with system records.
* Address discrepancies on statements and request copy invoices as needed.
Account Management:
* Complete supplier account forms.
* Add new suppliers to the system.
* Prepare suggested payments twice monthly.
Administrative Duties:
* Manage accounts-related emails.
* Gather and upload meter readings to relevant portals.
* Handle supplier calls and agree on payment dates.
* Answer general phone inquiries.
* Collect environmental data and input it into Excel spreadsheets.
* Perform general office duties as required.
