We are now looking for a
Compliance & Communications Administrator
to join our team working for a better future.
The position is permanent and the preferred location is in Fareham, UK.
What you will be doing
The Managing Director and Board of the Wärtsilä UK Ltd. legal entity require administrative assistance with several emerging and additional needs.
This role will be responsible to:
1. Administer and ensure compliance with the UK Ministry of Defence Security Clearance requirements and all associated communications with staff with SC status.
2. Support and assist the Board with real estate projects and associated facility management needs and requirements in conjunction with existing personnel fulfilling some aspects of this task.
3. Take the role as Country Communicator on behalf of the Board, liaising with Corporate communications team and other communications stakeholders.
4. Work to support the GM Sales in all administrative aspects regarding bids, tenders and service agreements, where no Contract Manager is appointed.
As Compliance & Communications Administrator your work will focus on these responsibilities:
1. Work across the WUK LTD sites to assist in some operational requirements
o Supporting and coordinating reception cover
2. Be the WUK LTD Security Clearance POC
3. Coordinate the shared office areas housekeeping, maintenance and management
4. Coordinate and support the UK Board with building management and lease activities
5. Communicate WUK news and information as required including updating the local company intranet site
6. Communicate WUK marketing topics through social media
7. Encourage company cooperation and collaboration activities including social events
8. Work with the WUK Sales Team to provide administrative support in key bids, tenders and agreements
To be successful in this role, we expect you to have:
1. A track record in administrative support in a corporate environment
2. Be an efficient communicator to all levels of colleagues
3. Be a team player
4. The ability to operate in a clean, organized, and efficient workplace, improving safety, quality, and productivity (5S Principle understanding is an advantage)
5. An understanding of document management requirements
6. Qualify to manage UK Security Check (SC) clearance. Which is to have been a UK resident for a minimum of 5 years and undergo a successful thorough background check
7. Basic requirements for computer skills
In this role, some travel is required to visit our UK sites in England and Scotland, thus, we hope you to be ready to travel approximately 15 to 20%, even though most of the meetings can be held virtually.
