Job summary:
Receive, assist and direct patients in accessing the appropriate service or healthcare profession in a courteous, efficient and effective way. To support all administrative tasks generated by the practice team.
Undertake a variety of administrative duties to assist in the smooth running of the practice, including the provision of secretarial and clerical support to clinical staff and other members of the practice team.
Job Responsibilities:
Reception:
* Ensure your manner is professional, polite and respectful when dealing with patients, co-workers and contractors. Signposting patients to the appropriate service.
* Deal with all general enquiries, explaining procedures and making new and follow-up appointments.
* Using your own judgement and communication skills ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner following the practice appointment systems.
* Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.
* Receive and make telephone calls as required. Ensure accuracy of the details from the caller.
* Create tasks via SystmOne if required and action tasks sent by other users or services.
* Enter requests for home visits on to the system and ensure careful recordings of details and where necessary refer to the duty doctor.
* Action prescription requests and ensure that repeat prescriptions are ready for collection by the patient within 48 hours, either on the computer or manually.
* Advise patients of relevant non-NHS charges if required.
* Enter and record patient information on to the system as required.
* Have a clear understanding of the opening and closing procedures.
* Ensure all mail is stamped, initialled, and put in for scanning.
* Produce and send letters for various checks, appointments and test results following practice guidelines.
* Ensure health and safety guidelines are adhered to and any incident is reported.
Administration:
* To have a knowledge of the practice procedures and protocols.
* To complete tasks and notifications on SystmOne in a timely manner and accurate details recorded. Administration tasks and notifications to be completed across both sites.
* Ensure registrations of new patients are actioned in the correct time frame.
* Process the repeat dispensing system within the surgery, ensuring all checks are carried out and patient batches of prescriptions printed and available in a timely manner.
* Carry out any clinical and administration audits as required and complete any work generated as a result.
* Ensure waiting lists are kept up to date and patient appointments are booked in within the correct time frame.
* Complete specific responsibilities in a timely and effective manner, meeting deadlines where applicable and maintaining training needs and updates to complete.
* To complete any other tasks you may be asked to carry out to improve patient care and outcome.

* In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters. They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately.
* In the performance of the duties outlined in this job description, the post-holder may have access to confidential information relating to patients and their carers, practice staff and other healthcare workers. They may also have access to information relating to the practice as a business organisation. All such information from any source is to be regarded as strictly confidential.
* Information relating to patients, carers, colleagues, other healthcare workers or the business of the practice may only be divulged to authorised persons in accordance with the practice policies and procedures relating to confidentiality and the protection of personal and sensitive data.

The post-holder will participate in any training programme implemented by the practice as part of this employment, such training to include:
* Participation in an annual individual performance review, including taking responsibility for maintaining a record of own personal and/or professional development.

* Participate in audit where appropriate.
PAY DEPENDANT ON EXPERIENCE
Job Types: Part-time, Permanent
Pay: £11.44 per hour
