Albatross Motoring is an established tour operator (part of The Albatross Group) offering self-drive holidays and events aimed at the classic and sports car motoring enthusiast. Operating under two well-known brands – Scenic Car Tours and Backwater Classic Car Tours – there are three elements to the business: scheduled car tours (escorted and non-escorted), bespoke tours aimed at car clubs and motoring groups, and motoring events such as the Laon Historique, the Jersey International Motoring Festival and the Isle of Man Festival of Motoring.

This is a full-time role, initially based in our head office in Larkfield. Normal hours of work are Monday to Friday, 9.00am – 5.00pm although some weekend working for motoring events will be required.
Role Overview:
The role of the Tour Sales & Operations Coordinator involves selling, coordinating, and managing pre-organised holidays as part of the Albatross Motoring team. You will also be required to take part in events, which may consist of travelling to different parts of the UK and Europe with other members of the team for often for two or more days. As part of a collaborative team, and in coordination with other departments across the Albatross Group, you will be responsible for ensuring that Albatross Motoring holidays and tours consistently meet or exceed consumer and supplier expectations. Building and maintaining strong relationships with key customers and suppliers is essential to the role’s success.
Key Responsibilities
* Responding to a variety of sales inquiries, including new bookings and quotes, via phone, email, and in person.
* Managing the full operational process for assigned tours and holidays, ensuring all components are booked as per client and supplier terms, conditions, and deadlines.
* Corresponding regularly with suppliers to provide them with sales updates and making booking amendments.
* Coordinating multiple operations tasks, often requiring data analysis, and reviewing documentation.
* Collaborating with the Route Planning and Operations Coordinator to ensure accurate and timely dispatch of travel packs, including assisting with packaging and posting as required, at least 4 weeks before departure.
* Ensuring all balance payments are received, following up as necessary, before sending travel packs to customers.
* Constantly building and developing product knowledge.
* Responding to tour feedback as part of the tour feedback process.
* Regular attendance at events and tradeshows, which are key components of this position.
* Handling the 24-hour emergency phone service as part of the team rota.
