Company Overview: The Overhead Door Company of Peterborough is a locally owned and operated business, proudly serving residents and businesses of Peterborough and surrounding areas since 1979. We specialize in residential service and installations, as well as industrial service and installations of garage doors, high-speed doors, rolling steel, security grills/shutters, and gate operator systems. We also have a hollow metal division in-house with stock of hollow metal door and window systems.
Job Summary
An Administrator is responsible for overseeing and supporting smooth operations by managing administrative duties, supporting employees, and ensuring that office functions run efficiently. This position requires strong organizational, communication, and problem-solving skills to manage tasks such as scheduling, handling correspondence, and maintaining records.
Key Responsibilities
1. Office Management: Organize and maintain office systems, including filing, scheduling, and supplies.
2. Communication: Handle phone calls, emails, and other correspondence; assist clients and visitors as needed.
3. Scheduling & Planning: Organize system updates, keep up to date with service provider software, and schedule meetings as needed.
4. Record Keeping: Maintain accurate records, including employee files, financial documents, and inventory.
5. Support: Provide administrative support to departments or teams, ensuring smooth day-to-day operations.
6. Document Preparation: Prepare reports, presentations, and other documentation as needed.
7. Data Entry & Analysis: Input data into systems and generate necessary reports.
8. Financial Management: Assist with invoicing, billing, budgeting tasks, and work with the accounting team as required.
9. Customer Service: Interact with clients and vendors to resolve issues or provide information.
10. Ability to Work Independently: Perform daily tasks with little assistance using available tools.
Qualifications
1. Proven experience in administrative roles or office management.
2. Strong communication and organizational skills.
3. Proficient in office software (e.g., MS Office Suite, Google Workspace).
4. Attention to detail and multitasking abilities.
5. Ability to maintain confidentiality and handle sensitive information.
6. Experience with administrative software; currently using QuickBooks and dispatching software.
Work Environment
Office setting in a small business environment, family-owned and operated in a newly renovated office/showroom building with 8 full-time office staff and 10 field vehicles. Work may involve extended hours during busy periods or tight deadlines.

Schedule
