Description Job Purpose: Fanatics is seeking an Office Coordinator to join our team in Manchester. The role will be responsible for supporting all community-based activities, local facilities oversite, while serving as one of the primary points of contact for the Community and acting as the “face” of Fanatics Duties & Responsibilities: Build a welcoming and collaborative community environment amongst our employees through events. Support to ensure that your building is fully operational, and processes are running efficiently. Take direction from the Regional Facilities Manager to ensure space is neat, safe, clean and compliant at all times. Front Desk/Hospitality Centric Tasks: Cover the front desk during the building’s set business hours (8:30 am– 5:30pm) and be an on-site point of contact Greet members and guests with a warm and welcoming demeanor. Ensure all visiting guests are in accordance with Fanatics’ guest and security policy. Work closely with onsite Security (guards and internal team) to ensure a safe but welcoming environment. Learn the names of employees with the goal of building relationships in order to facilitate the sense of community. Anticipate employee and visitor needs to personalize their experience as best. Keep the front desk clean and organized. Guest & visiting employee check in/out (visitors, guests, interviews, new hires). Complete building visitor security access form. When requested meet the guest/employee at the lobby and escort them to the designated floor. Support Parking permit distribution as requested. Create and print Fanatic employee badge to provide suite access. Sign into software system, input information, and print. Distribute to appropriate person. Receive and sign off for packages from UPS, FedEx, and mail carrier. Daily pick up of mail from mailboxes and/or building’s mailroom. Daily distribution required. Special Events: Coordinate special events such as Town Halls, employee recognition and VIP guests etc. Tasks range from sending out email communications, setting up and tearing down tables, chairs, decorations, as well as ordering, coordinating and setting up food and beverages Facilities Management: Assist with receiving, dispatching Corrigo Tickets; point of contact for Employees & Vendors with any facility related requests or activity. Restock of beverages and snacks as needed. Collect and place product into appropriate position and floors. Clean product shelving and containers (when necessary). Manage inventory of product, and order accordingly to ensure maintenance of supplies. Manage and organise the storage room/area. Ensure crockery is evenly distributed across breakrooms. Manage inventory of office supplies. Supplies to be ordered as necessary. Gather delivered supplies and restock in appropriate cabinet/floor. Events & Community Engagement Support: Provide feedback on programming and evaluate events based on attendance, satisfaction, and impact on the appropriate event team. Distribute all necessary info to promote events with key stakeholders Know and explain Fanatics’ policies and procedures and communicate, inform, and update members on building issues. Knowledge & Skills: Proven work experience in Hospitality Customer service and/or sales experience a plus. Must have strong verbal and written communication skills. Outstanding interpersonal and multitasking skills. Demonstrate integrity, dependability, responsibility, accountability, self-awareness, work ethic, and compassion. Passion for entrepreneurial communities. Passion and understanding of Fanatics’ mission, values, and an understanding of our products/business lines Proficient in basic computer skills.
