Job Description:
To assist the Head of Production with the day-to-day production department workflow, overseeing the manufacturers' critical paths from handover to bulk launch and subsequent delivery.
The role requires a candidate with good clear communication and excellent Excel and MS Office skills. Experience of Zedonk or similar PLM is also required.
Required to convey all seasonal information regarding planning, pricing, and overall production critical path timelines to each supplier. Needs to be constructive, positive, and solutions-oriented.
The Production Coordinator needs to have a good awareness of the status of all products across multiple seasons and be able to communicate this to all relevant departments in the business.
Main Duties and Responsibilities:
* Assist in the setup of the seasonal Critical Path and be responsible for the setup of key seasonal documents, including the production planning and allocation boards. Send out planning information for each manufacturer each season, including seasonal information, capacity planning, style allocations, price targets, and final dockets once books have closed. Work closely with manufacturers and internal teams to launch production season and manage each supplier’s timeline. Update and maintain the Master Planner and Tech CP. Raise seasonal dockets on Zedonk for each supplier/warehouse and communicate these to the manufacturers, ensuring that any subsequent changes are communicated and confirmed by both parties. Manage the production critical path with manufacturers and the technical team to ensure all PPS are approved on time. Ensure any additional projects are managed in the same seasonal process as the regular order book and included in all data and management documents so these meet their timelines. Update the Master Planner daily and communicate with logistics weekly to arrange ex-factory shipments. Update the delay tracker on the Master Planner ongoing to ensure all delays are captured for reporting at the end of the season. Ensure all make prices are agreed and confirmed in a timely manner and be willing to negotiate on these when required with sign-off from HOD. Manage the KPI reporting function on Excel and ensure this is updated as it should. Liaise with manufacturers to arrange on-time shipping of PPS, size sets, and ensure final QC requirements are met.
* Assist in new collection handover organisation and scheduling across departments. Manage requested supplementary samples from wholesale/press/retail teams through critical path to delivery and handover. Oversee supplier relationships to ensure all suppliers meet and maintain delivery, quality, and margin expectations. Communicate with them regularly to clarify all priorities and technical details. Ensure to cross-check Zedonk vs TP and update Zedonk accordingly. Attend all fit meetings with PD and the tech team. Ensure that costing and margin targets are met across the department each season. Be informative in assessment of existing supplier base from experience of management of these and offer ideas and solutions for alternative options. Ensure all admin & reporting requirements are kept up to date. Approve all supplier invoices for HOD to sign off. Support the technical team with size set approvals when required.
Requirements:
* Degree level or similar.
* Minimum 2 years of experience within a similar role working with luxury products across product categories. Must have a good understanding of production processes and critical path organisation. Understanding patterns, grading, lay plans, construction, and costings would be an advantage for the role. Excellent Excel and MS Office skills are required. Excellent organisation and time management skills while maintaining attention to detail. Ability to prioritise, manage multiple deadlines, and cope with heavy workloads.
