Administrative Assistant
Location: Lisburn
Hours: Monday to Friday
Salary: £11.67 per hour
About the Role:
MPA is recruiting on behalf of our client in Lisburn for an experienced and motivated Administrative Assistant to join their team. This role is integral to ensuring the smooth running of healthcare services within a prison setting. As a key member of the team, you will be expected to work efficiently, use your initiative, and provide exceptional administrative support to deliver high-quality healthcare services to inmates.
Key Responsibilities:
1. Provide comprehensive administrative support by liaising with various departments to ensure smooth operations.
2. Handle inquiries with a professional, courteous, and pleasant approach at all times.
3. Manage patient data, ensuring information is accurate, current, and easily accessible through various computer systems and software packages.
4. Process, record, and collate data for statistical purposes, ensuring accuracy in all tasks.
5. Oversee waiting lists and process both internal and external referrals.
6. Schedule appointments effectively to optimize clinical capacity.
7. Coordinate patient movement requests, interpreters, and other related services.
8. Maintain organized medical records filing systems.
9. Draft and type reports, letters, and meeting minutes as required.
10. Assist in the onboarding and training of new administrative staff when necessary.
11. Attend and contribute to staff meetings.
12. Provide coverage for administrative colleagues during periods of leave.
13. Handle general office tasks such as photocopying, scanning, sorting post, and faxing.
14. Participate in the client’s appraisal process and engage in ongoing professional development.
15. Undertake additional tasks and projects as required by the team.
Essential Criteria:
• 4 GCSEs (Grades A-C), including English Language, or equivalent qualification, plus at least one year of secretarial/admin/clerical experience, OR
• NVQ Level 2 in Administration (or equivalent) plus one year of relevant experience, OR
• At least two years of secretarial/admin/clerical experience.
Skills & Experience:
• Proficient in Microsoft Office packages, including Word, Excel, and Outlook.
• A valid full driving license and access to a car (or an approved alternative transport option, in the case of disability-related restrictions).
